POSITION BEGINS for 2025/26 school year.
Salary Schedule is based on the2025-2026 school year. New hires typically start at Step 1; transfers are offered pay per contract.
This is a 10-month/renewable position that includes benefits of paid medical and leave. This position works off of of a 209-day calendar.
All offers of employment are contingent upon board approval and the applicants satisfactory completion of a drug screening test(including marijuana) background and reference checks. Siuslaw School District strives to provide a safe alcohol and drug free environment for all employees.
TITLE:Middle School Secretary - Registrar Classified 1.0 FTE
JOB TYPE:This is a classified position
RESPONSIBLE TO:Middle School Principal
ASSIGNMENT:Under direct supervision the Middle School Registrar performs a variety of clerical work related to students student records student health records computer input and retrieval. Tasks are related to student records schedules attendance enrollment state reporting and a variety of student-teacher record keeping. The position requires some use of independent judgment but the work is generally performed under well-defined rules standards policies and procedures.
EDUCATION AND EXPERIENCE:
- High School Diploma or equivalent
- Basic ability to use grammar speaking and punctuation as required
- Ability to use fractions decimals and commercial arithmetic
- Microsoft Suite and Google Suite proficiency preferred
- Data entry experience preferred
ESSENTIAL FUNCTIONS:
- Transfer of all school records update incoming and outgoing records.
- Maintain all permanent records filed and maintained in an organized fashion.
- Record student enrollment information.
- Preparation of student data for the State of Oregon.
- Process Immunization info and report to the State of Oregon.
- Prepare school announcements.
- Data entry and retrieval in school information system.
- Data entry for School Counselor.
- Ensuring data entry integrity accuracy and compliance with state and district policies especially when preparing reports or transferring records.
- Maintaining confidentiality of student records and information aligned with FERPA and district policies.
- Updating of Honor Roll.
- Maintain files in the storage room.
- Managing new and returning student enrollment through Online Registration.
- Files and maintain test scores for students cumulative files.
- Assisting teachers in managing parent/teacher conferences.
- Process transcript requests (High School only).
- Processes telephone and written messages regarding student attendance.
- Type and send correspondence from administrative staff.
- Operation of Multi line phone and relaying of messages.
- Operation of office machines.
- Help with other related duties as assigned by the administrative staff.
KNOWLEDGE SKILLS AND ABILITIES:
- Maintains satisfactory attendance and punctuality.
- Ability to organize and maintain efficient time schedule.
- Ability to work cooperatively with staff students and the public.
- Good communication organization and computer skills.
- Strong work ethic.
- Emotional and physical stamina to perform duties as required by the designated task except for temporary disability.
- Effective oral/written communication skills in order to work collaboratively with a variety of school personnel as well as parents of students with disabilities and/or unique needs.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
- Work is performed in a wide variety of locations including school environments.
- May work with high stress student family or personnel situations.
- May require occasional lifting up to 50 pounds.
- Involves bending lifting crouching reaching standing sitting walking fine manipulation twisting/turning and repetitive movements.
- Requires the use of computers and office equipment.
CONDITIONS:This is a classified 10-month position.
SALARY: Will be determined by terms of the current negotiated agreement. The amount due under the contract will be pro-rated monthly in accordance with district policy.
EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Boards policy on Evaluation of Professional Personnel.
