Elk Island Public Schools (EIPS) invites applicants for a full-time Staff Replacement Facilitator in the Human Department. The role is a 10 month role starting June 23 2025.

The Opportunity
The Staff Replacement Facilitator is responsible for the daily substitute placement and dispatch operations across EIPS. The position trains all substitutes and administrators on the dispatch systems organizes orientation and information sessions and provides ongoing support and communication. The Staff Replacement Facilitator also manages documentation and information for the substitutes and generates various reports.
Summary of Responsibilities
- Monitor and review daily absences giving attention to any unfilled positions.
- Maintain a database of all substitutes including but not limited to skills locations form submissions and termination.
- Serve as first point of contact for substitutes regarding dispatches school assignments system usage.
- Communicate with site administrators and school staff regarding coverage issues or concerns that arise.
- Process new documentation submissions in the system.
- Generate customize and circulate reports related to substitutes and provide recommendations to the supervisor including data needed for the substitute renewal process.
- Manage and update intranet page for substitutes.
- Maintain and update system information and criteria especially at the start and end of the school year.
- Verify teaching certificates for substitutes.
- Provide administrative support for substitute-related matters during the school year
- Coordinate communication and execution of Substitute Appreciation Week activities.
- Participate as a member of Human Resources team for various events and projects.
The Candidate
EIPS seeks candidates who posses the following:
- Certificate or diploma in office management business administration or related field
- 3 years of related experience or office administration
- An equivalent combination of education and experience may be considered.
- Attention to detail and accuracy in record-keeping.
- Excellent oral and written communication and interpersonal skills.
- Strong prioritization organization multitasking problem solving and time management skills.
- Ability to successfully work independently with minimal supervision as well as in a multi-disciplinary team environment.
- Strong ability to adapt and manage change with frequent interruptions.
- Proficient with Microsoft Office and web-based programs.
- Knowledge of records management principles including FOIP Legislation.
- High level of integrity business professionalism and discretion in dealing with confidential and sensitive information.
- Strong analytical organization prioritization and time management.
- Good oral and written communication skills.
- Excellent interpersonal skills and ability to work well as a team player.
- Ability to remain current with contemporary and emerging technologies used by the division.
- Familiarity with EIPS platforms such as Atrieve SharePoint PowerSchool Spend Dynamics and Permission Click.
- Ability to apply rational and creative responses for problem-solving.
