Duties and Responsibilities (* denotes essential functions):

  • *Under the direction of the Library Director responsible for management of Access Services including general circulation reserves patron records management inter-library and intrasystem loans shelving of materials book stack maintenance etc.
  • *Develops implements assesses and modifies policies procedures and evaluative standards for all Access Services functions. Inform other coordinators faculty administration staff and students of existing policies and practices that govern Access Services and of impending changes to those policies in written format.
  • *Establishes and enforces policies and procedures within the guidelines of the University of Hawaii library system and coordinates the services of the unit ensuring timely implementation and compliance for all related functions. Resolve on a case-by-case basis unusual or unique problems not covered by established policies or procedures (e.g. discrepancies in records hardware and software configuration issues etc.)
  • *Provides leadership and directs annual planning and assessment of Access Services. Engages staff in setting appropriate and measurable outcomes in alignment with mission and goals of library campus and system.
  • *Ensures adequate staffing during operational hours as well as proper maintenance of book stacks and all collections.
  • Works collaboratively with peers from other UH Libraries to plan select and implement upgrades and migrations of system-wide integrated library management systems.
  • *Provides timely and efficient staff training related to upgrades and migrations of Integrated Library Student Information and Kuali Financial Systems (KFS) as related to Access Services functions.
  • *Assists Library Director with development and monitoring of operational budget including grant funds and UH Foundation accounts. Responsible for projecting and monitoring the student assistant budget and adjusting staffing based on available funds.
  • Receives tracks and records gift donations to the library. Deposit funds into Library UH Foundation account and keep Library Director updated.
  • *Oversees management of building keys and resolves general issues with operational and safety matters including keys electronic doors security gates elevators etc. Consult vendors and service personnel to maintain repair and upgrade equipment. Determine need for supplies materials and other items in accordance with established procedures.
  • Ensures the safety and wellbeing of patrons by enforcing behavior policies (eating cell phone use inappropriate behavior etc.). Exercises discretion in counseling patrons regarding inappropriate library behavior.
  • Provides instruction on the use of library equipment and resources in all media for patrons as well as library staff. Maintain and troubleshoot computers copiers and ADA equipment.
  • *Manages online calendars to document special events in the library (assignments may include evening and weekend hours). Schedules and conducts library tours to prospective students campus visitors and the general public.
  • Designs and implements data gathering instruments to monitor Access Services activities. Analyze data and prepare statistical reports studies and recommendations for annual review.
  • Other duties as assigned

Minimum Qualifications:

  1. Possession of a baccalaureate degree in social sciences business humanities or related field and three (3) years of progressively responsible professional experience with responsibilities for library services; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Considerable working knowledge of principles practices and techniques in the area of library circulation and services as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with library services.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problemsand the resolution of the problems in an effective innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. For supervisory work demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.

Supplemental Minimum Qualifications:

  1. Cashiering and cash handling experience with the ability to balance out register and allocate funds appropriately.
  2. Experience with Microsoft Excel Microsoft Word and Microsoft Access.
  3. Supervisory experience including scheduling shifts etc.
  4. Experience working with an automated library system such as ALMA that includes various modules such as circulation course reserves public access catalog report and notices generation matrices software upgrades and patron loads.
  5. Ability to work evenings and weekends.

Desirable Qualifications:

  1. Experience working with Banner.
  2. Experience working with Kuali.
  3. Experience working with ALMA.
  4. Demonstrated work experience in a college library setting.
