JOB SUMMARY: The Student Services Administrative Assistant provides administrative support to the Special Education Director School Psychologist and Special Education teachers serves as a source of information for students faculty and parents; and assures the smooth operation of the day-to-day activities of the Special Education office.
JOB RESPONSIBILITIES:Create processes and procedures to comply with State and Federal requirements for all IEPs
- Send Receive and Track IEPs consistent with required timelines
- Send Receive and Track Special Education Consents Evaluation Reports and related documentation consistent with required timelines
- Partner with the Director of Special Education to create and execute necessary tracking systems
- Manage File and Archive confidential paper and digital records
- Prepare correspondence produce mass mailings and maintain Special Education office records
- In absence of Special Education Director respond to needs concerns and questions
- Support the functions of the Main Office from 8:00-9:00 am every morning
Maintain all Special Education student records according to Massachusetts Record Regulations including the dissemination and destruction of records maintained by the Special Education ESPED and other Special Education databases for Special Education students:
- Ensure data integrity of ESPED database
- Partner with the Director of Special Education to maintain and prepare data necessary for state and federal Reports (i.e. SIMS Medicaid)
- Partner with the Director of Special Education to maintain and prepare data necessary for MCAS Accommodation Reports
- Develop new reports for in-house needs
- Train users on ESPED
- Liaison to ESPED/Frontline
- Access other pertinent databases as needed
Handle necessary correspondence:
- Teachers Students Parents SEPAC
- DESE
- Outside Providers (BCBA OT PT Psychologists etc.)
Perform a wide variety of administrative tasks to support the Director of Special Education including:
- Serve as liaison and information coordinator among Special Education staff faculty parents sending school districts and outside agencies
- Maintain special education workflow for the Director and Special Education Staff prioritizing and distributing tasks
- Support the planning and meeting preparation of Special Education staff and parent informational events including regularly scheduled SEPAC meetings
- Assist in various assignments and projects which are an extension of the Special Education Directors responsibilities as appropriate.
