The University of Nevada Las Vegas invites applications for Administrative Assistant 4 Department of Teaching and Learning College of Education R0147782.
ROLE of the POSITION
The Administrative Assistant IV (AAIV) plays a critical role in supporting the daily operations and strategic initiatives of the Department of Teaching and Learning. This position provides advanced administrative and financial support acts as a liaison between internal and external stakeholders and ensures the smooth execution of departmental processes. The AAIV position requires a high level of judgment leadership and supervisory responsibility contributing to the overall efficiency and professionalism of the department. The individual in this role must also possess knowledge of the departments academic programs and work closely with faculty and staff to support the admissions process for both masters and doctoral students.
Key Responsibilities
Provide high-level administrative support to the Department Chair faculty staff and students.
Serve as the resource person and liaison for the department with internal and external stakeholders.
Manage departmental budgets including operations student wages and travel.
Monitor financial records and ensure sufficient funds are available to support the department throughout the fiscal year.
Handle purchasing of materials and supplies travel expenses and other administrative financial duties.
Reconcile p-card transactions and submit spend authorizations.
Process supplier invoice requests and complete independent contract service agreements.
Coordinate and support departmental events and meetings.
Process accounts payable transactions through Workday.
Assist with faculty and staff recruitment efforts.
Supervise train and evaluate student employees and support personnel.
Provide mentorship and leadership in daily operations and team coordination.
Work with faculty and staff to support admissions processes for masters and doctoral students.
Maintain working knowledge of department programs and assist students faculty and prospective applicants with relevant information.
Compile and summarize information including announcements correspondence and policy documents using accurate grammar punctuation and formatting.
Develop and maintain effective and efficient recordkeeping systems.
Ensure confidentiality and security of sensitive information and documentation.

MINIMUM QUALIFICATIONS
Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.
PREFERRED QUALIFICATIONS
Associates or bachelors degree in business administration education public administration or a related field.
Minimum of three years of experience providing administrative and financial support in a higher education or public sector setting.
Proficiency with financial systems including budget tracking p-card reconciliation and procurement processes.
Experience using enterprise resource planning (ERP) systems such as Workday for accounts payable spend authorizations and financial reporting.
Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Experience coordinating faculty hiring student worker supervision and academic program support.
Strong interpersonal and communication skills with the ability to work effectively with diverse populations including faculty students and external partners.
Excellent writing editing and document preparation skills using correct grammar punctuation and formatting.
Knowledge of or experience working with admissions processes for graduate programs (masters and doctoral level).

SALARY
Grade 29 Step 1 salary $ 50153.76. Step means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170) salaries for initial appointments for classified positions typically begin at Step 1.
