About the role:
This is a permanent role to join the Subsidiary Secretariat and Governance Team providing essential meeting support in relation to the subsidiary and fund boards of the Aberdeen group entity management (including statutory filings) and assisting with the management of the report and accounts process.
The role requires liaison with various key stakeholders and supporting teams within the wider business. You will be expected to bring your experience to support and develop best practice and be an active voice both within the function and within the business as a whole.
Key Responsibilities:
Support with the drafting of meeting documents; including agendas action logs minute templates and the preparation of the board pack (on Board Intelligence).
Acting as Secretary for some board meetings and being responsible for the end-to-end process.
Support with the execution of governance processes for the groups entities including reviewing those processes as part of the continuous improvement agenda.
Maintain accurate statutory registers via an entity management system (Diligent Entities) and undertaking regular reviews of the information.
Liaise with UK and overseas representatives to ensure that information held is accurate.
Support with statutory and regulatory filing; including filing of statutory accounts confirmation statements director appointments/resignations minutes and other information as required.
Assist with ensuring that the groups entities comply with relevant statutory obligations and codes of governance.
Assist with the management of the report and accounts approval process for the groups entities which will require a close working relationship with the finance teams.
Support with governance queries from the business and others within the Subsidiary Secretariat and Governance teams drafting papers and written resolutions and briefing notes as required (with assistance from other Team members).
Other work as required with in the Secretariat team as required by the Subsidiary Company Secretary
