Your Role:

The Trademark Practice Support Coordinator provides key administrative and operational support to attorneys within the Intellectual Property group with a focus on trademark renewals and portfolio management. This position involves coordinating with foreign counsel managing client reports and ensuring timely filings for trademark registrations across multiple jurisdictions. The ideal candidate is highly organized detail-oriented and exhibits strong communication and client service skills.

Your Impact:

  • Trademark Renewal Coordination: Serve as the lead coordinator for the timely filing of foreign trademark renewals by communicating directly with foreign associates and international agents
  • Portfolio Management: Develop and maintain client-specific trademark portfolio reports and respond to client requests ensuring consistency and accuracy in all communications.
  • Stakeholder Communication: Act as a liaison between attorneys clients and foreign counsel promoting effective and timely communication.
  • Technical Proficiency: Learn and utilize firm and third-party technologies to streamline portfolio tracking and reporting functions.
  • Budget Tracking: Support budgeting processes related to trademark filings and renewals including cost estimates and invoice tracking.
  • Time Entry: Record and track time accurately for billing purposes.
  • Document Support: Utilize Microsoft Office tools to format edit and manage documents and reports as needed.

YOUR SKILLS:

Required:

  • Demonstrated experience coordinating international trademark renewals preferably in a law firm setting.
  • Ability to manage complex trademark portfolios for clients across multiple industries.
  • Strong organizational skills with a high level of accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Sound judgment discretion and ability to maintain confidentiality.
  • Proven ability to handle shifting priorities and competing deadlines in a fast-paced environment.
  • Strong time management skills and ability to work independently.
  • Initiative and accountability for assigned responsibilities.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) including formatting styles tables and formulas.
  • Flexibility to adjust hours as necessary to support team and client needs.

Preferred:

  • Prior experience in a law firm or professional services environment
  • Bachelors degree or equivalent experience
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint)
  • Familiarity with USPTO and WIPO procedures (though this role focuses on foreign filings).
  • Prior experience working with legal technology and third-party trademark docketing/reporting tools.
