Position Summary:
Florida Atlantic University is seeking a Coordinator Reservations & Event Operations. Boca Raton FL.
Reporting through the Department of Campus Recreation the Coordinator of Reservations and Event Operations will be responsible for the oversight and management of facility reservations special events and operations for the department.
Summary of responsibilities include:
Reservations & Special Events
Oversees all facility reservations and scheduling for the Recreation and Fitness Center Henderson Field Complex Climbing Wall Challenge Course Track and Turf Field Complex outdoor tennis courts and outdoor basketball courts.
Assists with the facility reservations for Jupiters pool basketball courts and fields in collaboration with Jupiter Assistant Director.
Develops processes and manages all facility use agreements fee estimates certificates of insurance for all facility rentals in accordance with department and university policies.
Manages department invoicing and event payment collection process.
Serves as lead planner for department and divisional special events as needed.
Serves as departmental liaison for campus and divisional related events committees including but not limited to orientation and career fairs.
Identifies new opportunities for reservable spaces across the department.
Manages equipment rentals process for special events and group requests.
Manages events and bookings in EMS Fusion Owl Central.
Assist with trainings on programs like EMS Fusion and Owl Central.
Manages the reservations of all internal departmental areas inclusive but not limited to: Sport Club practice and competition schedules Intramurals Fitness Aquatics with assistance from area staff.
Manages field lining schedules.
Conduct tours for clients staff and students of the facilities.
Supervises event support staff assigning daily tasks and duties regarding all areas of event reservations comprising of tours documentation verification phone calls diagrams and schedule creation.
Staff Development and Supervision
Recruits hires trains supervises evaluates and schedules student event managers and field monitors.
Plans and implements staff onboarding monthly in-service trainings staff development and team initiatives. Maintains documentation of all required certifications and trainings.
Contributes to the development and submission of operations assessments and evaluations related to student development including technical skills student learning outcomes and leadership.
Assists with Division student training and development initiatives.
Facility Operations
Serves as backup to Associate and Assistant Director of Facilities.
May assist with application of policies and procedures as they relate to the facility and respond to questions and concerns of users to ensure compliance with department policies and procedures.
Assists with the implementation of risk management procedures including facility inspections.
May assist with overseeing operations of the Recreation & Fitness Center including coordination organization and management of general building operations facility access and staffing.
Programming and Certifications
Coordinates and/or teaches American Red Cross CPR/First Aid Blood borne pathogen and AED certification courses for all departmental staff.
Assists in departmental assessment in reference to student staff development and reservation analytics.
Assists with preparing monthly and annual reports.
Performs other job-related duties as assigned.
