Description

TITLE

Coordinator Internal Funding Operations

JOB SUMMARY

The Internal Funding Operations Coordinator will be responsible for the TWU internal funding programs (e.g. Research Enhancement Program Chancellors Research Fellows Program Travel Assistance Fund Small Grants Program and Jane Nelson Institute for Womens Leadership) and research incentive program (e.g. Faculty Research Incentive Program (FRIP) and Proposal Development and Submission Incentive Program). The position will update and/or draft guidelines and applications materials manage the timeline for internal grant competitions organize the review of applications setup awards process financial transactions such as payroll purchasing and travel monitor grant expenditures and prepare reports. This position will also support the vivarium financial transactions and account Coordinator will assist with managing the accounts used to fund internal grant programs the vivarium and the research incentive programs (e.g. IACUC / Vivarium accounts Comprehensive Research Fund and ORSP indirect costs and special projects account). Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Director Operations Research & Sponsored Programs

Supervises: May supervise Student Assistants

ESSENTIAL DUTIES -May include but not limited to the following:

  • Coordinates the administration of internal funding competitions by updating and/or drafting guidelines and application materials managing the timeline for internal grant competitions organizing the review of applications setup awards processing financial transactions such as payroll purchasing and travel monitoring grant expenditures and preparing reports.
  • Manages the purchasing travel and operational expenses for internal grants.
  • Provides guidance to TWU faculty on internal funding program applications and grant management.
  • Assists with travel reimbursement to faculty receiving funding from the Travel Assistance Program and other internally funded projects.
  • Maintains internal funding database records and grant files.

ADDITIONAL DUTIES

  • May serve as alternate reconciler for departmental purchasing card.
  • Assists with reports.
  • Performs other duties as requested.

EDUCATION

High school diploma or GED required. Bachelors degree in area generally related to project content or assigned responsibilities preferred.

EXPERIENCE

Five years of experience in generally related area.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

All employees share the responsibility of maintaining information security and privacy requirements within the university by adhering to Federal and State regulations and TWU Policies & Procedures.

KNOWLEDGE SKILLS AND ABILITIES - The following are essential:

  • Ability to prepare budgets and monitor accounts using TWU fiscal reporting systems.
  • Excellent written and oral communication skills.
  • Ability to rapidly assimilate and retain University fiscal and academic policies procedures and practices.
  • Ability to interact with multiple constituencies in a professional manner.
  • Ability to use a personal computer and other office equipment including related university software and email.
