Located just 18 miles southwest of downtown Denver Ken-Caryl Ranch is a planned residential community nestled against the foothills of the Rocky Mountains offering stunning views red rock formations and abundant open space.


The Ken-Caryl Ranch Metropolitan District (KCRMD) in close collaboration with the Ken-Caryl Ranch Master Association serves approximately 11000 residents in Littleton Colorado. Governed by a five-member Board of Directors the District operates with a strong focus on community engagement quality of life and exceptional public service.


The Guest Services and Administrative Supervisor plays a key supervisory role in guest services and administrative operations recognizing the essential contribution of parks and recreation to community well-being.


As a visible ambassador for Ken-Caryl Ranch this position will promote a professional positive image of the District support strategic initiatives and foster continuous improvement. This individual will model and uphold the Districts core valuesrespect accountability integrity continuous improvement engagement and relationship buildingwhile promoting trust and collaboration across residents employees and stakeholders.


Job Title: Guest Services and Administrative Supervisor

Status: Exempt

Classification: Regular Full-Time

Department: Administration

Reports to: District Manager

Salary Range:

Full pay range: $73600 - $92360 annually

Anticipated hiring range: $73600 - $80200 annually depending on experience

Pay Frequency: Bi-weekly

Job Description:

This Job Description outlines the basic requirements duties and general responsibilities of the position of Guest Services and Administrative Supervisor. Unless modified by a written Employment Agreement this position is at-will which means the Ken-Caryl Ranch Metropolitan District (District) may terminate the employment relationship at any time and for no reason subject only to the requirements of federal and state law. Similarly the employee may terminate the employment relationship without notice at any time for no reason.

Job Summary:

The Guest Services and Administrative Supervisor is responsible for a variety of technical supervisory and administrative duties that support the Districts operations. This includes supervising the Guest Services team coordinating Board and committee meeting logistics supporting contract management leading or assisting with grant and report writing and managing various special projects. The role requires strong communication organizational and problem-solving skills.


Essential Functions:

A. Supervise and support the Guest Services team to ensure quality customer service effective scheduling and operational efficiency. The two primary locations include the Ranch House and Community Center.

B. Manage the Districts recreation software system including user access system updates troubleshooting and staff training.

C. Coordinate logistics for monthly and special Board meetings committees task forces and internal meetings as needed including scheduling materials preparation (e.g. Board Packets agendas PowerPoints) technology setup and hospitality.

D. Lead or assist in researching preparing and submitting grant applications and funding proposals.

E. Recommend and implement process improvements to enhance the efficiency productivity or profitability of District operations.

F. Conduct research analyze information and processes and develop effective strategies; compile data for special projects; collect and assemble data and background materials for a variety of reports; analyze data; prepare reports and summaries.

G. Provide exceptional customer service to both internal and external customers through effective interpersonal interactions and clear professional written communication.

H. Provide general administrative support such as preparing correspondence forms and reports arranging meetings filing electronic copies and tracking deadlines.

I. Collaborate with District Manager Department Directors Administrative Staff District Board or committees for special projects.

J. Coordinate the preparation of the Districts Annual Report in collaboration with District staff.

K. Exercise discretion and independent judgment in matters related to customer service policies team management scheduling and software operations.

L. Train mentor and evaluate Guest Services staff to ensure high performance and professional development; provide onboarding and ongoing training in recreation software and customer service practices.

M. Assist with budget tracking invoice processing and financial documentation related to Guest Services and departmental operations.

N. Perform such other duties as may be assigned by the District Manager.

O. Consistently promote a positive professional image of the District and provide excellent customer service at all times while demonstrating the Districts core values of respect accountability integrity continuous improvement engagement and relationship building.


Supervision Exercised:

Direct supervision of the Guest Services team including oversight of Rental Facilities operations.


Requirements

Required Experience:

A. Bachelors degree in Business Management Facility Management Public Administration Communications or directly related field; or an equivalent combination of education and relevant experience.

B. Minimum of three (3) years of administrative or office management experience.

C. Minimum of two (2) years of supervisory experience.

D. Experience with recreation-based software programs is preferred.

E. Experience in grant writing report writing or professional communications preferred.

F. Marketing experience is a plus.



Knowledge Skills and Abilities:

A. Strong analytical technical and problem-solving skills with the ability to assess operational challenges streamline administrative processes and support effective team supervision and decision-making.

B. Demonstrates strong internal customer service abilities and collaborates effectively with colleagues to achieve shared objectives.

C. Excellent external customer service skills.

D. Proficient with technology and software systems related to administrative operations customer service and recreation management.

E. Awareness of and adherence to data privacy and security standards related to customer records payment systems and District communications.

F. Ability to prioritize tasks meet deadlines and maintain confidentiality.

G. High attention to detail and accuracy.

H. Ability to collaborate with diverse internal and external stakeholders in a professional setting.

I. Possess and maintain a valid Colorado Drivers License and a satisfactory driving record.

J. Ability to work flexible hours including occasional evenings or weekends based on meetings or District needs.

K. Ability to read write speak and understand the English language at a level adequate to perform the job.



Work and Physical Requirements:

OFFICE ENVIRONMENT: This position requires work in a variety of locations and conditions including but not limited to Districts parks and recreational facilities and other similar inside and outside work areas. A substantial portion of this position will involve sedentary administrative work in an office environment.


Moderate physical activity is required including the ability to lift items in excess of 50 pounds occasionally and up to 20 pounds frequently. This position requires standing walking stooping/bending lifting and repetitive motion. Work is performed in all weather conditions. Positive interaction with District employees subordinate supervisors other organizations and the public required.
