As the first point of contact at Hangar 4 the Receptionist will welcome all guests and visitors answer and direct phone calls and support front office operations. This role ensures a professional welcoming environment and provides administrative support to various departments. While the main focus is on reception and administrative tasks the role also includes limited support to the Quality Assurance and Safety Management teams.
Major Responsibilities of the Role:
- Greet and welcome all guests and visitors to Hangar 4 providing a professional and courteous first point of contact.
- Answer incoming calls and direct them to the appropriate departments handling all the inquiries with professionalism and efficiency.
- Maintain a tidy and organized reception area to ensure a welcoming environment.
- Manage incoming and outgoing interoffice mail courier deliveries and general correspondence.
- Coordinate office supply inventory and place orders as needed to support daily operations.
- Activate and manage hangar access cards for employees contractors and approved visitors.
- Provide general administrative support including document preparation filling scanning and data entry.
- Maintain comprehensive and well organized physical and digital filing system.
- Support the scheduling of meetings and take accurate minutes when required.
- Assist the Quality Assurance and Safety Management System (SMS) teams with administrative tasks such as filing formatting documents and maintaining records.
- Enter data related to safety reports incident logs and training updates under the guidance of the SMS or the Quality Manager.
- Help coordinate the scheduling of internal audits and safety meetings as needed.
- Prepare documentation and support materials for audits investigations or reviews.
- Distribute internal communication related to safety quality or compliance.
- Perform additional administrative tasks and provide support to other departments as assigned by management.
Qualifications :
- 2 years of administrative experience
- Excellent communication and interpersonal skills
- Strong proficiency in MS Office (Outlook Word Excel)
- Ability to multitask and prioritize in a fast paced environment
- Detailed oriented with strong organization skills
- Professional appearance and demeanor
- Ability to work independently and collaboratively
- Understanding of confidentiality and professionalism
- Must have a valid Class 5 drivers license and access to a reliable vehicle
- Must qualify for Transport Canada Security clearance
