Description

POSITION SUMMARY:

The Director of Finance is the senior manager responsible for managing the financial actions of the company. This includes driving the companys financial planning performing risk management by analyzing the organizations assets and liabilities and providing leadership and mentorship to administrative and program staff.

The Director of Finance must be well versed in all aspects of financial management ranging from simple accounting to more complex standards including revenue recognition federal and other cost principles and administration of the financial aspects of a multitude of governmental and private grants.

This position can be hybrid (3 days work from home/2 days in the office)

JOB RESPONSIBILITIES:

Management

  • Manage the accounting staff.
  • Participate on senior leadership team both in a group and with individual directors.
  • Recruit supervise lead retain and continuously develop the skills and abilities of supervised staff members.
  • Utilize an equity and inclusion lens in managing staff members and areas of responsibility.
  • Identify and support career advancement plans identifying internal and external opportunities for professional development.
  • Work with supervised staff members to set and communicate performance standards that are specific and measurable. Provide regular feedback and coaching.
  • Create a strong team environment that fosters cooperation interdependence commitment and the incorporation of lessons learned.
  • Make sure all team members are well integrated into Civic Works.

General Accounting:

  • Prepare reports for bi-weekly finance meeting and discuss status of cash accounts receivable and other balance sheet accounts. Discuss status of profit and loss by program and funder. Discuss open AR invoices manage resolution of those over 60 days.
  • Maintain general ledger activity for multiple federal state local and private grants. Prepare monthly and quarterly reports as required by grantors terms including required back-up. Apply federal cost principles.
  • Prepare for and discuss financial reports at Board Finance Committee meetings and Board of Director meetings.
  • Responsible for monthly close account analysis and overseeing bank and credit card reconciliations. Prepare and approve journal entries.
  • Develop implement monitor and document internal controls to ensure integrity of all financial activity.
  • Respond to internal and external inquiries as needed. Provide reports to program managers as needed.
  • 0versee accounting staff who will enter all private foundation corporate government and service fee invoices on a monthly quarterly or as needed basis.
  • Manage cash receipts entry in accounting system and share receipt information with fund development.
  • Oversee accounting staff who will enter all payable invoices and credit card receipts into Nexonia or Intacct and prepare payments for signature and mailing or distribution.
  • Oversee reconciliation of credit card and bank statements in Intacct.
  • Weekly select bills to be paid and print checks.
  • Oversee preparation of 1099 and 1096 forms.
  • Bi-weekly review of payroll while in process to verify labor allocations.

Budgeting:

  • Prepare annual organization and salary budget.
  • Prepare all AmeriCorps budgets contribute to other grant budgets as needed. Review program budgets.
  • Report on budget to actual including variance analysis.

Banking:

  • Maintain all banking relationships.
  • Monitor cash balances to ensure cash is available to meet short-term needs generate cash flow projections as needed.
  • Manage line of credit renewal.
  • Manage financing as needed for capital purchases.
  • Monitor online account activity.
  • Maintain and respond to positive pay requests for checks and ACH activity.

Audits:

  • Maintain relationship with auditors prepare for and oversee the single audit and year-end audit.
  • Manage audit requests from Grantors.
  • Prepare information requested by accounting firm for preparation of Form 990 tax returns.
  • Prepare annual filings for the State of Maryland.

Other:

  • Maintain capital equipment ledgers.
  • Maintain accounting computer systems.
  • Maintain and update written accounting policies.

Qualifications

EDUCATION AND EXPERIENCE:

  • Must be a degreed Accountant active CPA preferred.
  • At least seven years experience in finance or accounting with at least four years in a leadership role and five years experience with non-profits sector
  • Experience in managing diverse and muti-disciplined teams of people.
  • A strong background of demonstrated experience in applying strong analytical and strategic thinking skills.
  • A strong background in performing leadership roles and responsibilities.

SKILLS AND ABILITIES:

  • Ability to effectively communicate verbally and in writing.
  • Strong understanding of accounting principles and experience in managing federal and state and private grants funds.
  • Experience with accounting software (SAGE Intacct and program software such as Salesforce Google MS 365 products and Paycom).
  • Ability to quickly grasp new software and applications and to complete projects or reports.
  • Ability to work collaboratively and effectively with culturally socially and economically diverse staff.
  • Capable of managing numerous simultaneous projects.
  • Strong analytical presentation communication and problem-solving skills.
  • Ability to recognize problems develop innovative solutions and implement them.
  • Flexible and adaptable; able to work in ambiguous situations.
  • Ability to apply an equity and inclusion lens across all areas of responsibility.
  • Ability to work independently.
