About The Position:

As we grow were looking for a highly organized proactive and business-savvy Executive Assistant to support our company manager in both administrative and financial responsibilities. This hybrid role offers an opportunity to work directly with leadership contribute to core company processes and evolve professionally in a fast-paced global environment.

Tasks

  • Manage the executives calendar schedule meetings and coordinate follow-ups
  • Handle client invoicing monitor payment statuses and follow up on outstanding balances
  • Maintain and update internal financial dashboards budgets and expense reports
  • Assist with financial planning analysis and internal reporting
  • Perform administrative tasks such as document filing digital record-keeping and data entry
  • Coordinate with clients vendors and service providers in a professional and timely manner
  • Support internal departments with administrative and commercial coordination
  • Organize international travel logistics (flights accommodation itineraries)
  • Collaborate remotely with multicultural teams across multiple time zones

Requirements

Qualifications & Experience

  • Bachelors degree in Business Administration Finance Accounting or a related field
  • 25 years of experience in a combined administrative and financial support role
  • Fluency in English (spoken and written); French is a strong advantage
  • Experience working in a remote or international business environment is preferred

Skills & Mindset

  • Excellent communication and writing skills particularly in a professional and financial context
  • Strong organizational skills with keen attention to detail
  • Proactive self-motivated and capable of managing tasks independently
  • Comfortable handling confidential information with discretion
  • Proficiency in Excel Google Workspace and online collaboration tools (e.g. Trello Slack Notion etc.)
  • Business-minded dependable and eager to grow with the company
  • Flexible and able to adapt to changing priorities and time zones
