Virtual Rockstar is looking for a proactive and organized Medical Virtual Assistant to support a dynamic physical therapy practice based in Massachusetts. This full-time remote position plays a key role in ensuring a smooth patient experience from insurance verifications and appointment coordination to virtual reception and administrative support.

As a Medical Virtual Assistant you ll serve as the first point of contact for patients while supporting critical front-office and billing operations. You ll help ensure that patients are scheduled informed and cared for from the moment they reach out allowing in-clinic staff to focus on treatment.
Reception & Patient Coordination
Manage the appointment calendar reschedule sessions and maintain a waitlist.
Respond to patient inquiries via phone (RingCentral) and email with professionalism and care.
Coordinate new and returning patient scheduling based on therapist availability.
Handle referrals from outside providers and ensure accurate intake documentation.
Insurance Verification & Authorization
Verify patient insurance coverage for physical therapy services.
Obtain and track pre-authorizations as needed.
Update patient files with current insurance information and documentation.
Liaise with insurance providers to clarify benefits and resolve coverage discrepancies.
Explain insurance-related information clearly to patients and assist with any related concerns.
Monitor and follow up on pending insurance claims.
Administrative Support
Maintain and update electronic medical records in Prompt EMR.
Prepare review and file necessary forms and documents.
Answer and direct incoming calls professionally via RingCentral VoIP.
Manage fax correspondence and handle digital filing.
Assist with email correspondence and general administrative follow-up.
Prompt EMR (electronic medical record management)
RingCentral (VoIP phone system)
Required:
Experience in a medical or physical therapy office setting (virtual or in-person).
Knowledge of insurance verification and pre-authorization processes.
Excellent communication skills verbal and written.
Highly organized with attention to detail and accuracy in data entry.
Comfortable using digital tools including EMRs and VoIP systems.
Ability to multitask and prioritize in a fast-paced team-oriented environment.
Commitment to HIPAA compliance and patient confidentiality.
Preferred:
Prior experience with Prompt EMR.
Understanding of physical therapy-specific insurance and documentation needs.
Experience managing patient communications scheduling and referrals remotely.
