Job Description

Job: Clinic Manager
Classification: Salaried/Exempt
Job Category: 1.2 First / Mid-Level Officials and Managers

Position Summary
The Clinic Manager oversees office functions of the clinic including patient reception client data collection records storage employee scheduling and evaluations and billing. The Manager ensures proper registration of patients in the Electronic Medical Record and provides knowledgeable and timely responses to patient inquiries.

Essential Functions
-Oversees office functions including patient reception client information collection records storageand data collections.
-Coordinates clinic scheduling and staffing to ensure adequate coverage and approve/ deny PTO requests.
-Ensures staff is appropriately verifying patient insurance coverage to determine co-pays deductibles and coinsurance.
-Assists patient inquiries related to charges balances insurance payment and/or denials of benefits.
-Provides forms and information related to available local and state assistance programs.
-Serves as a focal point for problem resolution within the clinic.
-Prepares daily reports showing daily collections and verification of deposits.
-Reviews timecards for accuracy and approves timecards for payroll.
-Manage claim/denial work queues daily to ensure accurate and timely billing of claims.
-Maintain strong understanding of accountable care organization (ACO) requirements.
-Lead daily huddle with Registrar Lead and Clinical Supervisor.
-Round daily on clinic staff and lead weekly staff huddle with clinical supervisor to communicate pertinent operational and clinical information.
-Attend all required scheduled meetings to include monthly Manager meeting.
-Work closely with the Quality Department to ensure safety incidents entered in ADN are addressed andany resulting processes are implemented and followed.
-Communicate staffing needs to Director and assist with interviews and staff hiring process.
-Address and document staff violations of clinic and TRMC policies.
-Conduct and document staff exit interviews following notice of resignation.
-Monitor and address patient experience survey responses in NRC and work closely with staff andproviders to make necessary improvements to processes.
-Ensure that staff duty competencies are completed filed and updated yearly.
-Maintain strong understanding of Joint Commission (TJC) and conduct reviews of clinic compliance andstaff knowledge on a quarterly basis.
-Communicate consistently with the Primary Care Director.
-Work closely with clinical supervisor to ensure ACO standards are implemented and followed.
-Works with director and other staff members to improve existing procedures methods services andprograms and implements any changes.
-Appropriately requisitions maintains and disposes of inventory and insures the safe storage ofmaterials.
-Maintains contact with employees medical staff providers and patients to discuss services problemsand information.
-Supports physician and midlevel providers to ensure quality of all clinical services.
-Adheres to and follows all patient experience initiatives.
-Reports to and departs from work on time and as scheduled.
-Performs other duties as assigned.
-Must be able to deal with stress while maintaining composure.
-Follows and adheres to TRMC vaccine policy(s) mandated by the Centers for Medicare & MedicaidServices (CMS). Achieves 100% vaccine or signed declination for all assigned staff.

Work Experience
Three years office experience in a complex work environment: clinic office experiencepreferred.
Supervisory experience preferred.

Education
High School graduate or equivalent preferred.
