Job Description

Summary/Objective

Under general supervision an Administrative Assistant performs a variety of confidential and complex secretarial and administrative duties in support of Finance Department. This classification is distinguished from secretarial and clerical classifications by the more complex responsible and sensitive duties.

Essential Functions

  1. Respond to all internal and external customers as it relates to position in a prompt efficient friendly and patient manner.
  2. Receive and respond to inquiries made by telephone email and in-person.
  3. Perform a wide variety of secretarial and administrative duties to include composing correspondence filing compiling data and preparing reports.
  4. Assist with Student Information Specialists in the compilation and verification of student data.
  5. Compile statistics for a variety of reports.
  6. Revise Student Attendance Manual and assist with trainings.
  7. Act as a resource person for registrars and attendance technicians.
  8. Monitor daily attendance records for accuracy.
  9. Assist in yearly enrollment and withdrawal of students.
  10. Maintain appropriate files and records.
  11. Assist in the preparation of Excel documents in support of Accounts Payable and Payroll.
  12. Maintain knowledge of and adhere to all policies regulations and rules.
  13. Perform related duties as assigned in a safe and prudent manner.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment in the district office of Kingman Unified School District #20. This role routinely uses standard office equipment such as computers phones photocopiers and filing cabinets.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  1. Regularly required to detect determine perceive identify recognize judge observe inspect estimate and assess details as needed to complete job functions.
  2. Regularly required to remain stationary type and focus on a computer screen for long periods of time.
  3. Regularly required to move around office.
  4. Occasionally required to move transport position put install and remove items up to 10 pounds.
  5. Occasionally required to assist with set-up of meetings training classes and events

Position Type/Expected Hours of Work

At-will Notice of Employment does not provide a guarantee of a particular schedule of work or a minimum number of days or hours.

This is a 12-month 40-hour per week position. Extended work hours to meet deadlines may occasionally be required.

Required Education and Experience

High school diploma or equivalent and three or more years progressively responsible office experience or any similar combination of education and experience.

Preferred Education and Experience

Office experience within a school setting.

None

Work Authorization/Security Clearance

Must be able to pass a criminal background check and obtain a Fingerprint Clearance Card with an IVP number through the Arizona Department of Public Safety.
