Job Description

Characteristics Of The Job:

Perform office duties as directed by the Mayor or Public Works Director in the daily operation of the City Hall Office greet every customer pleasantly and treat him/her with dignity and respect. Responsible for handling incoming calls processing utility payments permits handle cash check and credit card payments and prepare daily deposits. Perform work efficiently and effectively with other departments and departmental directors. Provide clerical assistance and appropriate information to elected officials and department directors when requested. Responsible for special projects reports statements and other duties as requested by the Mayor or Public Works Director. Computer data entry word processing spreadsheets and other tasks or duties as assigned.

Role and Responsibilities

Answer phones in a professional manner identifying the office and individual speaking.

Take messages for council and staff as needed.

File maintain and safeguard correspondence records and official documents.

Ensure timely and accurate billing/shut off notices of all utility revenues completeness of the utility revenue cycle.

Create schedule maintain and ensure accurate utility customer records meter deposits and readings.

Accept utility payments prepare receipts and properly record and document.

Handle cash credit card payments and accurately make change.

Create balance and make banking deposits.

Create documents and spreadsheets as needed.

Respond to correspondence under the direction of the Mayor or Public Works Director.

Prepare monthly claims and invoices.

Acquire broad knowledge of the ordinances policies regulations business licenses building permits contractor licenses liquor and video gaming licenses.

General secretarial work for the Mayor and Public Works Director.

Maintain office area in a clean and orderly manner.

Other duties as assigned.

Qualifications and Education Requirements

High school diploma or GED equivalent; two (2) years related experience or equivalent combination of training and experience which provides the required knowledge skills and abilities. Must have a valid drivers license. Must be able to pass a criminal background check.
