Full-Time On-Site Office
We are currently seeking a detail-oriented and dependable Office Support Associate to join our team in Lansdale PA. This position plays a key role in supporting both our accounting and administrative functions ensuring daily operations run smoothly and efficiently. The ideal candidate is organized self-motivated and comfortable working in a collaborative environment where responsibilities are often shared across teams.

What Youll Do: Accounting Support:
- Match vendor statements with invoices in QuickBooks
- Enter and reconcile credit card statements (AMEX WEX Amazon Chase Capital One)
- Process EZ Pass statements and match daily receiving to vendor invoices
- Print enter and file vendor invoices daily
- Assist with weekly check runs: write checks pay bills online email and mail checks
- Support year-end vendor file purging
- Answer and direct phone calls professionally
Administrative Office Support:
- Open and distribute mail
- File job documents and maintain physical binders
- Create and update binder tabs
- Assist with UPS shipping (shared responsibility)
- Maintain shared files including job binders and brochures
- Enter purchase orders for Finishing Manager
- Send birthday emails and prepare birthday checks
- Provide general backup for daily morning tasks
Design & Sample Program Support:
- Order receive and label standard material samples (Bespoke and Reserve)
- Distribute samples to designers and ship to clients
- Label and re-label samples for designers as needed
- Prepare dealer boxes and maintain sample organization
- Create sample request folders and scan final finish formulas to shared drive
- Prepare drawing packets and maintain specification files
- Assist with additional designer administrative tasks using Smartsheet
Qualifications
- High School Diploma or GED required
- Prior experience in office or accounting support preferred
- Proficiency with QuickBooks and Excel a plus
- Strong organizational skills and attention to detail
- Ability to multitask and work independently in a fast-paced environment
- Friendly professional communication skills
Physical Requirements
- Ability to sit stand and move throughout the office during the day
- Lift and carry up to 25 lbs (e.g. samples binders packages)
- Comfortable working at a computer for extended periods

ESSENTIAL DUTIES
Accounting Support Responsibilities:
- Match vendor statements to invoices entered in QuickBooks
- Enter and reconcile credit card statements (AMEX WEX Amazon Chase Capitol One) and match with receipts
- Process EZ Pass statements and allocations
- Match daily receiving documents to vendor invoices
- Print and enter vendor invoices on a daily basis
- Perform weekly check runs: write checks pay bills online email and mail checks
- File vendor invoices and assist with year-end file purging
- Answer and direct phone calls professionally
Office Administrative Support:
- Open sort and distribute incoming mail
- Assist with filing and organizing physical job files and binders
- Create and update binder tabs
- Handle UPS shipping (shared responsibility)
- Assist HR with general tasks such as arranging interviews organizing benefits new hire materials etc.
- Maintain shared files: job binders unfiled jobs and customer brochures
- Support team by entering purchase orders for Finishing Manager
- Send birthday emails and prepare birthday checks
- Support daily office morning tasks
- Provide backup coverage and support to office team members as needed
Design Support:
- Order receive and label standard samples (Bespoke and Reserve)
- Distribute job samples from Russ to designers and ship to clients
- Label and re-label samples for designers as needed
- Assist with Samples Program and prepare dealer boxes
- Create sample request folders and organize by designer
- Scan final finish formulas and upload to J drive; update Smartsheet when complete
- Prepare drawing packets for designer meetings
- Maintain appliance and sink specification files
- Complete other designer administrative tasks as assigned including Smartsheets
SKILLS & EXPERIENCE
- High attention to detail with ability to handle multiple tasks accurately
- Strong organization and filing skills
- Basic Excel knowledge and experience with QuickBooks or similar accounting software
- Comfortable with shared responsibilities and cross-functional tasks
- Excellent communication and teamwork skills
- Self-motivated with the ability to follow through independently
- Professional and friendly phone manner

- High School Diploma or GED
- Prior experience in an office or accounting support role
- Familiarity with shipping systems filing systems and basic bookkeeping a plus
- Proficiency with QuickBooks and Excel
PHYSICAL REQUIREMENTS
- Must be able to sit stand and move between departments throughout the day
- Ability to lift up to 25 pounds for sample handling and file organization
- Ability to work at a computer for extended periods
- Must be able to read printed materials and follow written instructions
