SUMMARY:
Reporting to and under the direction of the Health and Safety Officer this position provides a wide variety of
clerical and administrative services to support the District Occupational Health and Safety Program and the
District Wellness Program.
DUTIES:
Coordinates WorkSafe BC (WSBC) claims processing and reporting by providing appropriate information to the districts third-party claims manager and liaising about issues related to claims gradual return-to-work programs and employee pay information.
Manages the Clevr database to track all employee incident reports preliminary investigation and complete investigation reports. Answers staff questions about how to use Clevr.
Liaises with school administrators management staff and employees to ensure accuracy and completeness of WSBC reporting requirements including Employee Incident Investigation Reports First Aid Reports requirements for gradual return-to work-programs and other health and safety matters.
Submits required Incident Investigation Reports to the WorkSafe BC Prevention Department to meet legislated deadlines.
Liaises with supervisors injured workers SD23 Claims Dept. and WSBC claims managers regarding return-to-work plans for injured employees. Coordinates WSBC job-site visits.
Works with procurement to purchase personal protective equipment and first aid kits for all sites.
Monitors the posting of monthly joint occupational health and safety committee meeting minutes.
Liaises with the Payroll Department and Human Resources Department regarding WorkSafe BC absences and gradual return-to-work schedules to facilitate the correct processing of claims.
Tracks a wide variety of safety data and prepares reports for the District Health and Safety Committee and Safety and Health Officer.
Coordinates regular meetings by scheduling meeting dates preparing agendas recording and distributing minutes.
Works closely with the District Principal of Employee Services on providing clerical and administrative support for the District Wellness Program.
Develops and maintains content for the Employee Services Intranet pages by providing health safety and wellness information for employees including relevant links forms policies procedure and other resources.
Creates brochures posters presentations and promotional material for Health and Safety Programs and Wellness Initiatives.
Researches providers for Wellness initiatives aimed at reducing injuries and promoting psychological health and safety in the workplace.
Reviews annual SDS inventory and updates accordingly and tracks WHMIS training.
Tracks annual safety training including Occupational First Aid Attendant training annual Joint Health & Safety Committee training Incident Investigation training etc.
Monitors OFA certificate expiration and coordinates premiums with the Payroll Department
Coordinates new employee Health & Safety training
Processes invoices and employee reimbursements for medical documentation first aid training online OHS training and other health and safety services.
Receives answers screens and/or refers occupational health and safety inquiries
Maintains filing systems for confidential employee records legal documents as per WSBC OHS regulation and WSBC Orders.
Participates in initiatives to improve departmental systems processes procedures and work flow.
Participates in safety inspections and incident investigations as required
Performs other related duties as assigned.
QUALIFICATIONS:
Grade 12.
At least three years of recent and related experience working in the field of Occupational Health and Safety including experience as an active member of either a district or site occupational health and safety committee. Completion of training including Joint Occupational Health and Safety Committee Meetings Incident Investigations OH&S Regulations and Workplace Hazards and Controls.
Good working knowledge of the Workers Compensation Act Guidelines Regulations requirements.
Valid Class 5 Drivers Licence.
Strong verbal and written communication skills.
Demonstrated organizational skills and the ability to work independently.
Takes initiative to improve current occupational health and safety procedures and processes.
Works well with teams and has the ability to build effective relationships with internal and external stakeholders. Ability to problem solve and make decisions.
Advanced knowledge of Word Excel PowerPoint Teams and Outlook.
