About the role
The Concierge Bookings Officer is a vital frontline position within the Cultural Venues Unit part of the Arts Events and Cultural Venues Department in the Planning & Liveability Directorate. This role is responsible for delivering customer service managing booking processes and supporting venue operations across Wyndhams premier cultural facilitiesEncore Events Centre Wyndham Cultural Centre and the Civic Centre Function Rooms.
As a Concierge Bookings Officer you will oversee a variety of tasks including responding to booking enquiries coordinating hire documentation and insurance facilitating inductions and managing CRM records.
Some roles may also assist with client site visits event setup or liaising with third parties (e.g. AV catering). Youll be expected to take initiative maintain attention to detail and ensure clear communication across both internal teams and external hirers.
The Cultural Venues team is collaborative and values open communication accountability and a high standard of service. Reporting directly to the Team Leader of Functions each officer is responsible for contributing to shared team systems and may assist in onboarding or guiding new staff as needed.
Some travel between venues may be needed particularly for cross-site collaboration or training.
This vacancy has arisen as part of team growth and internal movements with one position linked to a staff secondment.

- Welcoming visitors and supporting bookings across our cultural venues
- Responding to client enquiries and processing hire applications
- Coordinating event logistics signage and venue setup
- Collaborating with team members to ensure smooth operations
- Assisting with promotional materials or ticketing where needed
- Keeping systems updated and maintaining accurate records
- Jumping in to help wherever its needed every day is different!
What you will bring
- Warm approachable and customer-focused
- Strong organisational and time management skills
- Comfortable working both independently and in a team
- Confident communicator across phone email and in person (is a must)
- Adaptable and calm under pressure
- Tech-savvy with experience using booking systems Microsoft office suite or CRMs a bonus
