Job Description

Position Summary
The Administrative Support Specialist provides high-level administrative and operational support to the President and Provost Offices managing complex calendars communications and logistics for meetings and events. This role efficiently handles a high volume of emails and phone inquiries resolves routine matters independently and ensures smooth coordination of appointments and schedules. The position also supports travel logistics financial processing and expense management for both offices. Reporting to the Executive Director of Operations for the President and Provost the Administrative Support Specialist plays a key role in supporting the Board of Trustees by preparing meeting materials managing communications assisting with trustee onboarding and coordinating logistics for board meetings and events. They also oversee administrative tasks related to the board including attendance tracking budget administration and maintaining board materials. This position requires strong organizational skills attention to detail and the ability to handle confidential matters with discretion.

Required Qualifications
Bachelors degree plus 35 years of administrative support experience or a equivalent combination of experience and education. Proficient in MS Office (Word Excel PowerPoint) Adobe Pro and database management with the ability to quickly learn University-specific systems. Exceptional interpersonal skills with the ability to manage complex issues and handle sensitive confidential matters with discretion. Proven ability to independently identify areas for improvement propose solutions and take initiative to drive operational efficiency. Strong organizational skills with the ability to prioritize tasks resolve issues and streamline office operations. Demonstrated commitment to accuracy thoroughness and consistency in all work. Resourceful team player who is also highly effective when working independently. Strong knowledge of and commitment to the mission of La Salle University.

Preferred Qualifications
Bachelors degree. Administrative support in a higher education environment. Experience supporting senior-level executives or leadership teams in a higher education environment. Experience in project management including coordinating complex initiatives across multiple departments or teams. Knowledge of higher education governance and Board of Trustees processes.
