Position Summary

The San Francisco State University Dean of Students Office is comprised of three units: Care and Support Engagement and Community. The Administrative Analyst for Care & Support will provide strategic assistance to the functional unit areas within the Dean of Students Care and Support unit including Basic Needs Campus Case Management and the SAFE Place. Under the general supervision of the Associate Dean of Students the Administrative Analyst for Care & Support is responsible for the overall administrative analyst I duties and responsibilities of the unit. The incumbent is responsible for designing implementing maintaining and evaluating administrative systems to support the functional unit areas in the Dean of Students Offices Care and Support unit including Human Resources and payroll processes calendar management purchasing and requisitions and documentation. Advising the Associate Dean of Students on policy and procedures related to budgets finance personnel and related operational functions; budget analysis and forecasting in consultation with the Associate Dean of Students; and accounting and administration. The incumbent is responsible for general administrative duties (i.e. maintaining administrator calendars answering phones ordering office supplies etc.); communicating with department staff campus and community partners and students; preparing paperwork associated with invoices reimbursements payroll and other budgetary matters for approval; and maintaining records and files for the Associate Dean of Students and the functional unit areas within the Dean of Students Office Care and Support unit. The incumbent may also work with and/or oversee student employees.

Position Information

Administrative Development and Coordination

  • Provide administrative support for scheduling and calendar management to the functional unit areas within Care and Support including the Associate Dean of Students Basic Needs and Case Management;
  • Design implement and maintain a variety of administrative systems for the Care and Support unit within the Division of Student Life including systems related to office management telecommunications support and office procurement procedures;
  • Develop and maintain in conjunction with the Associate Dean of Students administrative systems related to budgetary and fiscal management for the Care and Support unit including systems for budget analysis and accounting;
  • Assist in the coordination maintenance and reconciliation of department budget spreadsheets on a monthly quarterly and annual basis;
  • Maintain current organizational charts for the Care & Support Unit in partnership with the Student Affairs & Enrollment Management Budget Operations Department
  • Develop coordinate and maintain Human Resources processes and transactions in partnership with and under the guidelines of Human Resources including payroll and hiring procedures and documentation for professional staff and student employees;
  • Coordinate maintain and reconcile unit purchases and travel in partnership and under the guidelines of Fiscal Affairs;
  • Develop and maintain positive working relationships with campus and community partners regarding administrative duties undertaken on behalf of the unit;
  • Develop and coordinate processes for travel scheduling and reimbursement;
  • Develop and maintain all scheduling processes for Care & Support unit including processes for room reservations for events programs and meetings;

Program Administrative Oversight

  • Provide clerical and administrative support to Associate Dean of Students and the Care and Support Leadership team;
  • Serve as a receptionist for the Care & Support Unit including but not limited to welcoming environment for students accessing support for resources desk receptionist duties maintaining departmental calendars and phone and general email correspondence;
  • Attend departmental meetings record meeting minutes process documents develop project lists and manage correspondence for the Care & Support unit;
  • Supervise the team of student employees for Care & Support;
  • Coordinate logistics related to staff retreats and workshops;
  • Coordinate regular inventory audits and place supply orders as necessary;
  • Collect and synthesize statistics program updates and department information for grants and legislative reporting;
  • Process requisitions and serve as Care & Support liaison to Procurement and the Office of Research and Sponsored Programs for contracts MOAs and purchases;

Minimum Qualifications

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles practices and methods. This foundation would normally be obtained through a bachelors degree and/or equivalent training and administrative work experience involving study analysis and/or evaluation leading to the development or improvement of administrative policies procedures practices or programs.

  • Working knowledge of and ability to apply standard theories principles practices and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations;
  • Thorough knowledge of policies procedures and outside regulations pertaining to the applicable program and/or administrative specialty;
  • Working knowledge of operational and fiscal analysis and techniques;
  • Ability to take initiative and independently plan organize coordinate and perform work in various situations where numerous and diverse demands are involved;
  • Skill in the research development and evaluation of policies and programs including skill in the collection evaluation and interpretation of data to develop sound conclusions and make appropriate recommendations;
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications;
  • Ability to anticipate problems and address them proactively;
  • Demonstrated ability to effectively interpret organize and present information and ideas in written or presentation form;
  • Ability to train others on new skills and procedures and provide lead work direction.

Preferred Qualifications

  • Knowledge and experience working in a higher education environment including activities and projects related to a University;
  • Knowledge and experience working in a public health prevention program;
  • Demonstrated ability to establish and maintain effective working relationships on a University campus and with partners associated with a health promotion and wellness unit;
  • Thorough knowledge of office systems and ability to use a broader range of technology systems and packages;
  • Proficient in Microsoft Office (Word Excel PowerPoint Outlook etc.); and
  • Ability to learn campus software programs quickly

Incumbent must be able to work effectively with a variety of individuals. Must be able to interact competently with a culturally and ethnically diverse population of students faculty and staff.
