Job Description

This position is a grade 117. The salary placement range is $24.50 to $28.00 per hour depending on experience.

JOB SUMMARY:

Student Success depends on efficient operations that support the critical work of staff at all schools and district facilities. The Plant Services Specialist performs complex office management activities for the Maintenance and Transportation Departments. Ensuring an equitable distribution of resources the Plant Services Specialist is required to regularly exercise independent judgment and discretion in efficiently and effectively accomplishing complex and difficult tasks in support of the Plant Services department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepares and monitors the status of purchase orders and payroll expenditures.
  • Works with Plant Services administrators to maintain budget and Purchase Order amounts.
  • Manages accounts for the gas card system for vehicle fueling and ACE Certification for fleet mechanics.
  • Compiles and disseminates bids/quotes for department projects in accordance with required practices.
  • Maintains inventory of supplies.
  • Deals extensively with staff and community giving and receiving information requiring independent judgment or discretion regarding the specific business of the District.
  • Ensures that effective office procedures are established and maintained.
  • Prepares accurate written communications including budget reports letters newsletters and notices.
  • Assists with editing time and attendance information for plant services employees and ensures the accuracy of information entered into the time and attendance software.
  • Accepts phone calls answers questions and accurately routes messages.
  • Receives emergency requests through phone and radio messages.
  • Dispatch emergencies to the proper personnel for immediate action.
  • Tracks School Facilities Board and Bond projects.
  • Assists with the tracking of budgetary amounts and change orders related to construction and preventative maintenance projects.
  • Accommodates other requests as assigned by the Director of Plant Services

MINIMUM EDUCATION AND/OR EXPERIENCE:

High school diploma or GED required.

Experience with MS Office software

PREFERRED EDUCATION AND/OR EXPERIENCE:

3 or more years of secretarial/office management experience

Experience with Visions and School Dude software programs

SUPERVISORY RESPONSIBILITIES:

Office clerical staff.

Knowledge of:

  • Best practices in office management systems including tracking time and attendance and supporting department budgeting and purchasing

Skilled in:

  • Generating business correspondence using a variety of software programs.
  • Oral and written communication as well as building interpersonal relationships.

Ability to:

  • Produce effective written correspondence and reports in a timely manner.
  • Prioritize multiple tasks and effectively engage with staff and the public.
  • Establish effective working relations with administrators and coworkers.

While performing the duties of this job the employee is frequently required to stand and talk or hear and sometimes walk and sit. The employee must use hands arms and fingers to input data handle feel or reach; employee may occasionally push or lift up to 50 lbs. such as boxes supplies etc. Specific vision abilities required by this job include close vision such as to read handwritten or typed material and the ability to adjust focus close vision distance vision color vision peripheral vision and depth perception.

The noise level in the work environment is moderate to loud and can vary in temperature. The nature of this position is fast-paced and may occasionally be thought of as stressful. Through interaction with the public and other district employees the employee may encounter different scents.

This position will be based in Business Services at Emerson Court.
