The purpose of this position is to perform accounts payable duties under the general direction of the Director of Finance and Operations. Work requires initiative and independent judgment in the application of prescribed policies procedures and methods. Duties and Responsibilities (Not limited to):*Conducts the preparation production and distribution of all vendor warrants.*Confirms all goods/services have been received with confirmation from the ordering department and matching purchase order to be considered for payment.*Reviews invoices and purchase orders for accuracy (i.e. authorization and appropriate account) legality and compliance with School District Policies.*Initiates follow-up on back-ordered items and open purchase orders.*Data entry required for all invoice information with contractual references within the financial reporting system to batch for check run.*Processes all relevant system reports prints and mails physical checks as well as required ACH non-check batches when required for various vendors*Provides warrant information to the Assistant Treasurer for bank reconciliation tailings monitoring and School Committee signatures*Researches and resolves order and vendor disputes questions and related issues.*Reviews and reconciles districts purchasing card purchases to ensure appropriate allocations and proper supporting documentation.*Responsible for the processing of the districts Amazon and P-card account after appropriate approvals have been met.*Responsible for ordering district copier supplies and school supplies. *Encumber contract agreements at the beginning of each fiscal year and close out open orders not filled in the final quarter for year end fiscal close.*Gather required documentation (ie W-9s and remittance directives) process new vendors and update vendor files as needed.*Performs similar or related work as required directed or as situation dictates.*Assists with special projects and other duties assigned by the Director of Finance and :*Bachelors degree preferred in accounting or related fieldExperience Preferred:*School ERP Pro Infinite Visions financial software*Three to five (3-5) years of accounts payable similar experience accounting or any equivalent combination of education training and Knowledge & Abilities:*Knowledge of municipal fund accounting is preferred. *Thorough knowledge of office procedures practices and terminology. *Thorough knowledge of departmental operations. Familiarity with accounting principles and procedures. Knowledge of the operation of computer software applications.*Ability to communicate effectively and tactfully with staff and school administration. Ability to compose correspondence. Ability to prioritize and complete multiple tasks at one time with frequent interruptions. Analytical ability. Ability to maintain and create spreadsheets and records. Ability to use automated accounting systems.*Excellent customer service skills. Strong organizational skills.
