Department Summary

Student Services and Enrollment Managements mission is to build a diverse exceptional and inclusive campus community. University Housing units include Business Services Operations Dining Services Facilities Services Promotions & Student Recruitment and Residence Life. University Housing is a $100-million dollar educational and business department that is a self-sustaining self-liquidating agency of the University (receives no tuition or tax support for its operating budget).

Position Summary

The position reports to and provides executive-level administrative support for the Director of University Housing and is responsible for a broad set of assignments related to the duties of the director and is expected to handle many sensitive and confidential issues and must maintain strict confidentiality in all matters. The position also provides administrative support to the Sr. Associate Director Associate Director Director of Facilities Services and Director of University Housing Promotions and Student Recruitment and manages the daily operations of the University Housing administrative office. Responsibilities include full supervision up to 2 classified staff. The administrative office includes 6 Officers of Administration (the Director of Housing Sr. Associate Director of University Housing Associate Director of University Housing/Director of Food Services Director of Residence Life and Educational Initiatives Director of Facilities Services and Director of Marketing and Communications).

Minimum Requirements

3 years professional experience providing executive-level administrative support within a large organization which includes management of executives calendar arranging travel planning/coordinating special projects and events.
Proficiency with electronic calendars email systems and office software (e.g. Microsoft Office).

Ability to act as the directors point of contact analyzing and processing requests in order to prioritize urgent and often sensitive matters and taking decisive action to facilitate the optimal use of the directors time.
Ability to manage projects identify objectives and prioritize.
Excellent organizational and time-management skills.
Ability to work collaboratively as well as independently.
Ability to meet deadlines quickly adapt to changing circumstances prioritize multiple tasks while handling frequent interruptions and rapidly changing priorities.
Ability to maintain mutually cooperative and respectful working relationships.
Commitment to experience with and/or ability to work effectively and collaboratively with students faculty and staff from diverse backgrounds in support of a welcoming and inclusive environment.
Self-motivated punctual and reliable.
Ability to maintain a high level of confidentiality.
Ability to manage stressful situations with tact and diplomacy and to use sound judgment and initiative particularly as it relates to handling sensitive and/or confidential information.
Ability to think creatively and identify opportunities for improvement.
Ability to communicate effectively; attention to detail.

Preferred Qualifications

Professional experience in a higher education environment or other large public organization such as federal/state government.
Knowledge of university policies and procedures.
Familiarity with Concur (UO travel and procurement card system).
