Bryn Mawr Trust a WSFS Company provides locally managed and collaborative wealthmanagement solutions including a broad array of planning and advisory services investmentmanagement trust and estate planning brokerage and investment services to individualcorporate and institutional clients through multiple integrated businesses.
The Client Service Associate is responsible for providing high level service delivery to trust andagency clients Wealth Advisors Investment Advisors intermediaries and other qualified referralsources and distribution channels. The incumbent will support a large team of client facingindividuals (Wealth Advisors Investment Advisors Financial Planners Managers) to provideexceptional client service and administrative support. This position entails internal and external(client) communications including answering the main WMD phone line on a rotating basisparticipation in select client meetings and interface with Trust Operations Service Partners.
Job Responsibilities:
- Manage multiple time sensitive tasks simultaneously for both internal and externalclients. Those tasks include preparation of account opening and closing forms/paperworkasset gathering at initial account funding transferring money both internally and externallypaper and electronic filing paying bills in a timely and efficient manner on behalf of trustand agency clients and/or family offices gifting.
- Coordinate with Investment Advisors Wealth Advisors and Investment Associates onpreparation and mailing of client correspondence including Investment Policy StatementsOff-List Holdings Letters and concentrated stock position letters.
- Master the account opening process for all account types.
- Prepare high volumes of account opening paperwork in an efficient manner.
- Understand how fees are charged and exhibit an ability to manually calculate fees.
- Know BMTs approved standard WMD fee schedules and follow all exception processing forfee discounts.
- Track account funding to completion check all asset information for accuracy (cost basisacquisition date tax lots etc.).
- Provide bill pay and cash movement services to select Wealth Advisors and Investment Advisors within the Wealth Management Division specifically Investment Advisors andWealth Advisors in the Berwyn location of the WMD. This service includes paying all clientbills moving cash from income to principal and vice versa and accommodating clientrequests for cash in a timely and accurate manner.
- Monitor and work to clear cash overdrafts for assigned Wealth Advisors and InvestmentAdvisors.
- Coordinate client meetings for Wealth Advisors and Investment Advisors and assist inmeeting preparation.
- Be willing and able to systemically tailor client presentation materials to the needs of theclient and Wealth Advisor or Investment Advisor.
- Serve as first point of contact for many high net worth clients as well as build and maintainthose relationships by providing exceptional client service support.
- Provide backup to sort/scan and distribute mail as needed.
- Proactively anticipate the needs of Wealth Advisors and Investment Advisors and work inconjunction with Investment Associates to track/resolve account compliance issues ontheir behalf including but not limited to stale IPS Off-List Holdings Letters AccountReviews with exceptions etc.
- Act as Secretary to one or more internal committees (account review committeediscretionary distribution committee etc.) and prepare accurate committee minutes thattrack exceptions.
- Maintain accurate client data on FIS Addvantage (core trust accounting system) First RateInvestors View and Nautilus.
- Use each system effectively to support Wealth Advisors and Investment Advisory teams.
- Administer complex and precise processes in support of client needs.
- Contribute with process improvement ideas.
- Contribute to Division initiatives (systems conversions projects etc.).
Minimum Qualifications:
- Must have a high school diploma however a 4-year college degree in businessadministration finance or a business related major is highly preferred.
- Must have a minimum of 3 years of experience in administrative client service.
- Must have general knowledge of investment markets and trust administration.
- Must be proficient in Microsoft Word and Excel.
- Experience with a trust accounting and/or investment system is preferred.
- Must be able to juggle priorities be organized and have an adjustable social style.
- Must exhibit initiative and the ability to complete assigned tasks efficiently and with littlesupervision.
- Knowledge understanding and application of fiduciary and investment principles ispreferred.
- Knowledge of securities processing and clearing; knowledge of trust & accounting systemsis preferred.
- Knowledge of trust administration and fiduciary responsibilities is preferred.
- Knowledge of investment systems (First Rate and Investors View) and technology tosupport recordkeeping and payment history (FIS Addvantage) is preferred.
