Job Description

Job Title: Human Resources Assistant

We are looking for a detail-oriented and personable HR Assistant to support our dynamic HR team and ensure smooth operations within the department. Key Responsibilities:

  • First Point of Contact: Be the welcoming face and voice of HR by interacting with visitors and employees in a professional and friendly manner.

  • Communication Hub: Monitor and manage the text-in line for incoming messages responding quickly and effectively.

  • HR Systems Proficiency: Utilize Applicant Tracking System (ATS) and HR Information System (HRIS) to manage records and data.

  • Orientation Coordination: Send weekly reminders for New Employee Orientation (NEO) to new hires ensuring they are prepared and informed.

  • Unemployment Claims Processing: Manage and process unemployment claims in a timely manner.

  • Phone & Correspondence Management: Answer phone calls direct inquiries to appropriate departments and handle incoming and outgoing correspondence.

  • Record Keeping: Maintain organized and up-to-date employee records including doctors notes write-ups and timecard entries.

  • Compliance Monitoring: Ensure termination reports are reviewed and timecard entries are accurate.

  • Customer & Employee Support: Assist with welcoming new customers and interviewees while providing office supplies as needed.

  • General Office Assistance: Perform other administrative tasks ensuring smooth day-to-day operations of the HR department.

Requirements:

  • Skills and Knowledge:

    • Proficiency in Microsoft Office Suite (Excel Word Outlook)

    • Strong organizational and multitasking skills

    • Excellent written and verbal communication abilities

    • Ability to maintain confidentiality and manage sensitive information with discretion

    • Strong customer service and interpersonal skills

    • High attention to detail and accuracy

  • Education & Experience:

    • High school diploma or equivalent (GED) preferred

    • Previous administrative experience especially in HR is a plus

  • Competencies:

    • Organizational skills

    • Communication proficiency

    • Attention to detail and accuracy

    • Strong sense of discretion and confidentiality

Physical Demands:

  • Primarily office-based with some light physical requirements such as lifting files (up to 25 lbs) bending or standing when necessary.

  • Occasional visits to the factory where you may be exposed to varying temperatures vibration and moving mechanical equipment.

Work Environment:

  • Office-based with occasional visits to the factory where safety and hearing protection may be required.

Position Details:

  • Type: Full-time

  • Hours: Monday to Friday during normal business hours (additional evening/weekend work may be required depending on job demands)
