Job Summary:
The Project Officer will support the seamless execution of Christmas installations gifting deliveries and other corporate and high-net-worth festive projects. This role involves field coordination vendor follow-up inventory assistance project documentation and hands-on execution of client-facing deliverables. The ideal candidate is detail-oriented organized and able to work under pressure during high-demand festive seasons. Experience working with high-profile clients in the oil and gas sector or other regulated industries will be a strong advantage. Familiarity with project management tools for task tracking and execution is required.
Key Responsibilities:
1. Project Execution Support
- Assist in the preparation setup and execution of d cor installations and gifting deliveries at client locations.
- Coordinate logistics and site readiness in collaboration with vendors artisans and team leads.
- Act as the liaison between field teams and the office to ensure project updates and resource needs are communicated promptly.
2. Inventory & Asset Movement
- Support the movement of inventory and d cor materials from storage to job sites.
- Track and report material usage damages and returns for reconciliation.
- Ensure items are loaded transported and returned in good condition complying with safety standards.
3. Procurement & Vendor Liaison
- Follow up with vendors on delivery timelines and specifications.
- Assist the Senior Procurement and Logistics Officer in sourcing quotes and executing purchase runs.
4. Reporting & Documentation
- Maintain accurate daily logs of activities installations and materials used.
- Capture photo evidence of project stages and site conditions before and after setup.
- Submit reports and feedback after each assignment.
5. Team & Client Coordination
- Support coordination among artisans drivers and decorators during deployment.
- Represent the company professionally while on client sites.
- Escalate any field issues risks or challenges to the supervisor immediately.
Requirements
Requirements:
- Minimum of Bsc or equivalent in Logistics Business Administration or related field.
- At least 3 years of experience in field coordination logistics or operations (events/project-based work is an advantage).
- Experience working with high-profile clients or corporate environments (e.g. oil & gas HNIs) is preferred.
- Ability to work long hours including weekends during peak seasons.
- Good communication reporting and problem-solving skills.
- Must be able to use project management tools such as Zoho Projects Trello or other task execution platforms.
- Ability to lift move and supervise physical items during project setups.
- Ability to use project management software for task assignment and tracking (e.g. Zoho Projects Trello or similar).
