Job Description

About You

We are looking for a part-time receptionist to join our team! The right candidate will be customer-service oriented have a positive attitude excellent communication skills and time-management skills.

Primary Responsibilities

The day-to-day duties of this role include:

  • Answer phones take messages or direct callers to the proper department
    • Communicate with callers in a professional friendly and efficient manner
  • Greet customers and handle their inquiries or direct them to the appropriate persons according to their needs
    • Handle customer complaints diplomatically exercising emotional intelligence and refer displeased customers to the appropriate individual for resolution
  • Confirm appointments for customers
  • Receive cash checks and credit card payments from customers and record the amount received on the repair order and/or counter ticket
    • Make change accurately and issue receipts to customers
  • Assist sales managers finance managers and sales staff with various clerical duties as needed
    • Review work done by others to ensure accuracy
      • Check for spelling and grammar
      • Recommend revisions
  • Create maintain and enter information into databases
  • Set up and manage paper or electronic filing systems recording information updating paperwork and maintaining documents
  • Open read route and distribute incoming mail and other materials
  • Learn to operate new office technologies as they are developed and implemented
    • Train and assist staff with computer usage
    • Report maintenance or equipment problems to appropriate personnel
  • Order materials supplies or equipment and distribute to employees or customers

Receptionist Qualifications

  • Energetic positive self-starter with excellent customer service skills and a can-do mentality
  • High-level of emotional intelligence and empathy when routing customer complaints
  • Ability to follow instructions while collaborating with other team members effectively
  • Ability to multi-task successfully in a high-volume fast-paced environment
  • Successfully navigates issues while managing a certain amount of ambiguity
