Description

Job Summary:

This position provides administrative operations support to the Convention Services Department. Actively resolves customer inquiries as well as internal department inquiries or questions in a professional manner. Assists with the daily activities of the Convention Services Managers and Directors.

Essential Functions:

  • Answer and screen telephone calls and refer inquiries to other areas. Maintain a record of important phone calls.

  • Preparation and Distribution of correspondence to Groups to include but not limited to: Welcome Introduction Letter Resume Work Sheets Thank You Letters etc as requested by managers.

  • Completion of request forms to include but not limited to: diamond card request forms amenity requests limo orders key requests and other department orders requested by the Services Team. Ensure follow-up of these department requests 3 days prior to group arrival.

  • Retrieve and screen mail.

  • Maintain appointment schedule concerning meetings luncheons conferences discussions etc.; reminding officer of appointments as required.

  • Arrange travel schedule and reservations.

  • Type letters reports memoranda and other company related forms.

  • Take dictation and type business correspondence in reply to customer inquiries or related conferences discussions and business meetings.

  • Proofread and verify all documents produced.

  • Collect data and assist in preparing reports.

  • Maintain a current set of records and files.

  • Greet visitors; ascertain nature of business and direct visitors to appropriate person.

  • Keep inventory of supplies and replenish as needed under budgeted expense goals.

  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent required; Bachelors Degree preferred or equivalent work experience.

  • Five years previous experience as support staff preferred.

  • Proficient skill with personal computer software packages to include Microsoft Word Excel and PowerPoint required.

  • Must possess excellent communication skills oral and written as well as excellent interpersonal and problem-solving skills.

  • Must be highly organized and possess the ability to handle multiple assignments in a fast paced environment.

  • Must have a professional appearance and be a team player.

  • Experience in catering not required but preferred

Physical Mental & Environmental Demands

  • Must be able to sit for prolonged periods of time 6 8 hours.

  • Responds to visual and aural cues.

  • Must be fluent and literate in English.

  • Must be able to respond calmly and make rational decisions when handling guest and employee conflicts.

  • Must be able to stoop bend as well as maneuver through all areas of the department casino and hotel to perform tasks as assigned.

  • Must be able to lift and carry a minimum of 10 pounds.

  • Must have the manual dexterity to grab grip type pull hold tear sort and reach as well as operate office and computer equipment such as telephones photocopiers postage and fax machines personal computer.

  • Must be able to tolerate areas containing second hand smoke dust loud noises and bright lights.

  • Must be able to walk long distances.

  • Must be able to work a varied schedule including weekends and holidays as needed.
