Yu Ming Charter School is a non-profit tuition-free network of public schools located in Oakland and San Leandro and open to all residents of California. As a leader in Mandarin Immersion education our mission is to nurture our inclusive and diverse community to become empowered engaged and outstanding global citizens. RESPONSIBILITIES
Under the direction of the Head of School Operations the School Office Manager assumes the duty of supervising school site operations. This encompasses organizing directing and executing a diverse array of intricate clerical and operational tasks while upholding the utmost standards of confidentiality and sensitivity. Throughout the fulfillment of responsibilities the individual showcases independent judgment initiative tact patience and courtesy.
- Maintain a high standard of organization and cleanliness in the office lobby conference rooms staff rooms and supply closet fostering a professional and welcoming environment.
- Support clerical work of the Operations team as directed by the Head of School Operations
- Perform other duties for Principal or Leadership Team as directed by the Head of School Operations.
- Serve as the primary point of contact and maintain on-call availability during weekends and academic breaks to handle urgent issues and support campus operations.
- Be prepared to work extended hours to meet project deadlines and ensure smooth operations.
- Occasional evening and weekend hours required.
RECEPTION AND COMMUNICATION
- Secure the reception area by registering students staff and school visitors.
- Greet and sign guests in and out ensure they have proper identification while on-site and monitor access to the school campus.
- Answer phones direct calls record and convey messages and address questions and concerns from families and staff.
- Manage school communications with service providers and vendors.
- Provide information to the public investigate and respond to complaints and inquiries from citizens other departments and outside agencies.
- Supports the distribution of any necessary materials for substitute teachers as developed and authorized by the Principal.
OFFICE ADMINISTRATION
- Maintain a consistent inventory of supplies anticipate ordering needs and place monthly orders to ensure availability of paper and other office supplies.
- Troubleshoot copy machines and laminators; arrange for services as needed.
- Receive and check incoming mail and packages; distribute as necessary.
- Assist with purchasing duties for the campus communicate with vendors acquire quotes/invoices and coordinate with the purchasing department.
- Manage storage areas and assist with inventory control.
MAINTENANCE AND VENDOR COORDINATION
- Field maintenance requests by proactively coordinating with vendors to schedule timely repairs. Ensure that minor repair tasks are appropriately delegated to qualified staff members while maintaining clear communication and follow-up to guarantee work completion and uphold operational standards.
- Partner with the Head of School Operations to support site projects including sourcing vendor quotes coordinating on-site activities and managing the collection of invoices.
- Supervise and delegate work to the school day custodian and night custodian.
- Managing the acquisition and replenishment of janitorial supplies through systematic procurement processes
- Support facilities maintenance through collecting feedback completing walkthroughs and submitting tickets for ongoing repairs and maintenance.
STUDENT AND STAFF SUPPORT
- Supply and process forms for students and families.
- Maintain student files keeping them locked and secured.
- Support school staff and parent volunteers in coordinating school events as directed by the Head of School Operations
- Assist with student pick-up and drop-off duties.
- Supervise students during recess lunch periods before school or after school as needed.
- Oversee lunch supervision and the student meal program including breakfast lunch and snack programs.
- Prepare transportation requests calendars and answers questions about field trip activities
- Maintain control of school facility keys assign and distribute keys to certificated and classified staff as necessary.
ATTENDANCE AND TRUANCY
- Record tardy students information in the morning and input data into the system before the daily deadline.
- Monitor teachers daily attendance submissions and contact teachers who have not submitted by the daily deadline.
- Audit attendance contact families about absences/unexcused absences daily and maintain weekly attendance reports.
- Manage student records including updating daily attendance in PowerSchool and preparing monthly attendance reports.
- Process late arrivals and early dismissals follow up with families of absent students and manage the collection and maintenance of student information.
- Assist in the management of independent study programs by overseeing the distribution of essential documents and agreements while also maintaining a tracking system to monitor progress and ensure compliance.
- Identify students with attendance issues including frequent absenteeism unexcused absences and excessive tardiness.
- Report truant students to the Head of School Operations in accordance with Yu Mings Attendance policy.
- Provide general support for truancy processes including but not limited to preparing and distributing notices to families through appropriate communication channels coordinating related meetings and assisting with follow-up actions in accordance with school policies and procedures.
EVENT COORDINATION
- Help plan and manage logistics for school events and activities such as making photocopies setting up for special events as directed by the Head of School Operations.
- Coordinate school site special events and projects (e.g. BTSN Staff PD BOY Staff PD).
SAFETY AND HEALTH
- Perform basic first aid.
- Manage the collection and maintenance of immunization documents.
- Receive student medication complete the intake of school health forms and ensure staff receive required student medication for field trips.
- Supports the Principal in running monthly safety drills and coordinating emergency procedures of School Site Disaster Plans.
QUALIFICATIONS
- High school diploma Associate or Bachelors degree from an accredited institution is preferred
- Strong organizational time management and multitasking skills.
- Basic computer skills including Google Suite.
- Excellent verbal and written communication skills; fluent in English; proficiency in Chinese or Spanish a plus.
- Superb interpersonal skills; ability to work collaboratively with individuals from a variety of backgrounds.
- Flexibility and adaptability to change; ability to work in a dynamic creative and start-up learning environment.
- Standing and walking for extended periods of time.
- Hearing and speaking to communicate with students parents and colleagues bending pushing and moving objects weighing up to 50 pounds.
- Stoop bend twist and reach (above shoulders and horizontally) and must be able to see in order to monitor student traffic and incoming visitors.
- Ability to maintain confidentiality of sensitive information.

COMPENSATION
- $68640-$70000 annual base salary (12 month employees) - This is an exempt position and not eligible for overtime compensation.
