Description

We are seeking a polished proactive and highly organized Court Reporting Department Coordinator to support the daily operations and strategic growth of our Court Reporting division. This is a dynamic role ideal for someone with a strong stenographic or legal background who thrives on balancing detail-driven administration with high-level coordination.


This position will serve as a central hub for the department ensuring smooth internal processes supporting the successful execution of key initiatives such as our exclusive Planet Institute mentorship program and helping drive quality and consistency across the organization.


The ideal candidate will bring experience working with stenographic reporters and demonstrate strong communication skills (both verbal and written) high emotional intelligence and sound judgment. The successful candidate will be mentored by executive leadership and positioned for future growth within the organization.


ADMINISTRATIVE ASSISTANT COURT REPORTING ESSENTIAL FUNCTIONS

  • Provide steady operational support for the Court Reporting department adapting quickly to shifting priorities and maintaining professionalism under pressure.
  • Monitor and manage departmental inboxes ensuring timely clear and professional communication across teams.
  • Provide administrative and program support for Planet Institute our exclusive mentorship program for emerging stenographers including supporting students facilitating job shadows and ensuring a smooth learning experience. Over time this role will take on greater ownership and oversight of the program as experience and familiarity grow.
  • Review daily transcript submissions including rough drafts and errata sheets with a keen eye for formatting accuracy and polish especially for newer reporters still mastering the craft.
  • Manage a range of administrative tasks including document processing digital uploads and internal recordkeeping of reporter information credentials and certifications.
  • Collaborate cross-functionally with other departments to ensure alignment communication and workflow efficiency.
  • Support leadership with scheduling project follow-up and occasionally event logistics or travel coordination related to conferences or industry gatherings.
  • Serve as a consistent point of contact and organizational resource for the full Court Reporting team contributing to a positive detail-oriented and solutions-focused environment.


LOCATION:

Remote


SHIFT:

10:00am - 6:00pm EST


COMPENSATION:

$55000 and up commensurate with experience

Requirements
  • Previous experience in an administrative or operational role preferably within the legal services or court reporting industry.
  • Strong written and verbal communication skills impeccable attention to detail and a high level of organizational discipline.
  • A polished professional demeanor with the ability to communicate effectively across all levels of the organization and across a high volume of court reporters.
  • Familiarity with court reporting workflows transcript formatting and stenographic practices.
  • Tech-savvy and efficient in platforms such as Microsoft Office Suite and Power Apps.

Strongly Preferred:

  • Background as a stenographic reporter or in direct support of court reporters.
  • Experience managing or mentoring professionals in a legal or high-pressure environment.
  • Understanding of notarial and certification requirements across states.
  • Interest in legal tech operational efficiency and scalable systems.
