Position Overview and Responsibilities
We are currently seeking a detail-oriented and organized File Coordinator to join our team. This role is key to ensuring the efficient management of both physical and digital records enabling easy and secure access to information across departments. The ideal candidate will have strong organizational skills exceptional attention to detail and the ability to manage multiple priorities effectively. Responsibilities include but are not limited to:
Organizing maintaining and updating physical filing systems
Accurately labeling files and ensuring proper storage for easy retrieval
Monitoring file access and tracking file movement within the department
Ensuring compliance with organizational policies and regulatory requirements regarding file management and retention
Assisting team members in locating and accessing files as needed
Troubleshooting issues related to file organization and accessibility
Future responsibilities may also include:
Assisting with the implementation of a digital filing system
Organizing maintaining and updating digital records
Supporting the digitization and conversion of paper files into electronic formats
Training staff on proper file management practices and procedures
Minimum Qualifications
High school diploma or equivalent
Proven experience in file management or an administrative role
Proficiency in using computer systems and software including Microsoft Office Suite
Strong organizational and time management skills with the ability to multitask and prioritize effectively
Excellent attention to detail and accuracy
Strong communication and interpersonal skills
Ability to work independently and collaboratively within a team
Commitment to maintaining confidentiality and integrity of sensitive information
Preferred Qualifications
Familiarity with document imaging and electronic records management systems
Work Hours
Typically Monday through Friday 8:30AM-5:00PM.
