Inviting applications for the role of Manager - Senior PMO Analyst!
Recommend actions regarding management of the program
Help co-ordinate funding and approval submissions for program (e.g. CPIA)
Report on whether projects are delivering capabilities in line with the baselined scope schedule costs and benefits in line with the agreed investment plans
Management of the Program schedule and interdependencies through tracking analysis and feedback to the Program Director
Provide strategic oversight informing the program or project when reporting policy or strategy changes (e.g within the DX)
Responsibilities
Program/Project communications support including organising workshops induction sessions training sessions onboarding sessions and development of presentation documents
Management of the Programs/Projects weekly / monthly operating schedule / timeline (including Forward planning) for the PMO team and the PMO Manager
Coordinate the PM tool assignment of program/project resources to tasks including the set-up/establishment of individuals in PM tool.
Develop and maintain the program calendar
Assist in maintaining all portfolio/program processes and guidelines
Assist the PMO and Quality Managers in meetings with Project Managers to ensure that documents are being generated and signed-off as per the Deliverables List
Ensure that appropriate induction materials are in place with guidelines for Managers to onboard staff
Keep abreast of any changes to the PgEF PEFm and templates and assist the PMO Manager with the related communication of these changes to the Project Management community within the program
Ensure that all of the programs procedural documents are kept current
Manage the project funding and change control submissions forward agenda
Maintains RAID register and program schedule.
Document processes required by the PMO. For example: resource management schedule management onboarding
Assist the PMO and Quality Managers in maintaining/improving the accuracy timeliness and quality of reporting across the program
Assist the PMO and Quality Managers in ensuring timely and quality generation status reports from the PM tool Supplementary Status Report or any required divisional month-end report of monthly program/project
Support the development of monthly reporting and Steering Committee packs
Assist the PMO Manager in chasing progress updates on action items
With support from Finance assist with the generation of reports in relation to resourcing stocktake requests resource request submissions
With support from Finance assist with financial governance processes eg timely and quality generation of monthly financial reports
Ensure all final versions of key documents are captured and stored appropriately on the relevant Intranet/ sharepoint site with consideration to audit and security
Maintain all of the key control registers for program including issues risks dependencies key decisions assumptions and change
Manages requistions & invoice approvals
Manage document control procedures in conjunction with the PMO Manager
Establish and manage program trackers including NOD CCL Actions tracker Approvals Tracker and Milestone register
Administer and enhance the portfolio and project sharepoint sites
Maintain auditable knowledge repository of project/program artefacts
Management of working groups and Steering Committees via minutes chasing progress on actions and booking meetings. Also updating and maintaining Key Decision Register based on meeting minutes
Keep team distribution lists and team data sheets current (e.g. leave calendar)
Ad hoc projects or reporting as requested by Program Director PMO Manager
Set up program/projects in PM Tool and ensure the completion of timesheets (where applicable)
In addition to the above in the event that the program does not have the scale to include a Team Assistant this role may be required to undertake the following administrative functions including but not limited to:
o Coordinate bookings logistics stationary and maintenance of distribution lists
o Payment of invoices and reconciliation obtaining approval for Service Requests and SOWs
o Property management
o Onboarding and offboarding of employees

Scheduling - Manage the timely completion of the project - through defining and sequencing activities effective estimation of resourcing effort & durations; development and controlling schedule (level 1)
Quality Management - Plan and execute quality management activities that ensure consistent quality outcomes through adherence to polices controls and standards (level 1)
