Job Description

PRIVATE LABEL POSITION: Business Operations Manager (Full Time Exempt)

DIRECT REPORT: Director of Operations

SUMMARY:

The Operations and Transitions Manager will be a critical leader responsible for driving operational excellence and strategic execution across our portfolio of properties. This role will oversee key operational functions from budget management and property transitions to team training and technology integration ensuring efficiency consistency and a superior resident experience. The ideal candidate is a proactive problem-solver with a strong background in property management operations and a passion for continuous improvement.


RESPONSIBILITIES:

Operational Leadership & Strategy:

  • Lead the development and implementation of operational standards and policies.
  • Contribute to and assist in preparing the overall operations strategy and value propositions for all Subtext properties.
  • Identify operational opportunities through a thorough review of portfolio-level financial reporting
  • Prepare operating budgets for predevelopment communities and acquisitions.

Budget & Financial Oversight:

  • Develop and deploy budget training for all Community Managers
  • Prepare budget reminders and provide training on budgeting expectations for Community Managers.
  • Thoroughly review all property budgets against T12 performance and proforma before final approval.
  • Interface seamlessly between Subtext and Cardinal Accounting for combined financial reporting.

Training and Development:

  • Oversee the entire portfolio turn preparation process including reviewing prior years execution and developing improvement recommendations.
  • Prepare comprehensive turn timelines reminders and resource materials for the portfolio.
  • Provide critical oversight for Turn Board activities.
  • Lead move-in planning and execution including marketing campaigns and communications.
  • Develop and manage turn staffing plans.
  • Execute future resident contact strategies (skip prevention).
  • Lead Turn Office Hours for support and guidance.
  • Actively assist with Due Diligence (DD) efforts including interfacing with sellers teams participating in and coordinating DD inspections and ensuring completion of DD requests.
  • Manage marketing transitions (social media Google My Business ILS etc.) and comprehensive operations setup (vendors Entrata access systems etc.) during acquisitions.
  • Participate in and maintain an on-site presence during Transitions Week.
  • Assist in preparations for marketing properties for sale including preparing stay bonus proposals and interfacing with buyers teams.
  • Oversee lease file audits.
  • Assist in potential staff transfers and submit staff stay bonuses for processing.
  • Lead initial and ongoing team training initiatives.
  • Conduct annual training sessions on budgeting expectations and standards.
  • Provide operational office hours for ongoing training and support.
  • Assist in operational training related to staffing changes.
  • Develop Standard Operating Procedures
  • Conduct team interviews and oversee comprehensive team onboarding.

Technology & Innovation:

  • Oversee the implementation of new integrations technologies and systems.
  • Prepare comprehensive training materials for all new technologies.
  • Oversee the execution of branded resident applications.
  • Manage the setup and rollout of new technologies to communities.
  • Continuously refine and develop technology utilization at the site level.
  • Interface with and provide feedback to third-party technology vendors for ongoing support and evolution of services.
  • Actively seek Best in Class technology solutions to enhance the resident experience.

Support & Collaboration:

  • Provide onsite team support as needed.
  • Assist in market visits.
  • Assist the Development Team in future project underwriting providing feedback on income and expenses based on Subtext operational standards.

QUALIFICATIONS

  • 5-7 years of relevant industry experience
  • Excellent time management and organization skills as well as a professional attitude
  • Ability to meet strict deadlines and prioritize
  • Must have excellent analytical skills attention to detail and a strong work ethic
  • Ability to problem solve and think outside of the box
  • Willing to travel a minimum of 8-12 weeks per year
  • Professional written and verbal communication as well as great interpersonal skills required
  • Customer service focused (i.e. generating accurate and timely results and effectively communicating to team members co-workers and management)
  • Bachelors degree preferred

COMPENSATION:Pursuant to applicable regulations if this job is performed in Colorado the salary range is $94000-$110000 plus bonus potential. Eligible to participate in the company benefits plan. While performing the duties of this job the employee is regularly required to use hands to finger type handle or feel and talk or hear. The employee is regularly required to stand; walk; reach with hands and arms and climb stoop or squat. The employee is often required to sit. Incumbents must be able to physically access all exterior and interior parts of the property and amenities and must be able to work inside and outside in all weather conditions including but not limited to rain snow heat hail wind and sleet.

The employee must be able to push pull lift carry or maneuver office products and supplies of up to twenty (20) pounds. Specific vision abilities required by this job include close vision distance vision color vision peripheral vision depth perception and ability to adjust focus.

Routine local travel is required to attend training classes client visits or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position. Overnight travel required to attend company functions training property visits and other situations necessary for the accomplishment of special projects that may be assigned from time to time.
