The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. This is a Special Appointment position with the Department of Public Safety and Correctional Services (DPSCS). The incumbent serves at the pleasure of the appointing authority.

POSITION DUTIES

The Executive Assistant serves as support staff for the Secretaryof the Maryland Department of Public Safety & Correctional Services. TheExecutive Assistant is responsible for reviewing and handling correspondenceand inquiries related to the Office of the Secretary. Additionalresponsibilities include:

  • Researches and compiles information as directed by the Secretary of the Maryland Department of Public Safety & Correctional Services and Deputy Secretary of the Maryland Department of Public Safety & Correctional Services
  • Reviews reports and incoming mail to identify and assist in preparing correspondence transmitting items of interest or concern to various departmental staff.
  • Acts as the appointment officer to schedule meetings for the Secretary of the Maryland Department of Public Safety & Correctional Services and Deputy Secretary of the Maryland Department of Public Safety & Correctional Services to attend as well as obtain the necessary documentation and information prior to the meeting.
  • Serves as the direct representative of the Secretary of the Maryland Department of Public Safety & Correctional Services in meetings and conferences and relays all information that was transmitted.
  • Serves and interacts with the Governors office legislators and other state agencies on a daily basis.
  • Works on sensitive and confidential projects requiring discretion and judgment in the release of information.
  • On Call 24/7 as needed.

MINIMUM QUALIFICATIONS

Education:Possessionof High School Diploma or GED.

Experience:

Minimum of57 years of experiencesupporting senior executives preferably ina large complex organization or government agency.
Demonstrated experience supportingCabinet-level or senior government leaders including managingsensitive information strategic calendars and high-level communications.
Proven ability tomanage andsupport special projectsin coordination with200 executive leaders includingscheduling meeting coordination material preparation and project tracking.
Exceptionalwritten and verbalcommunication skills with the ability to draft proofread andeditexecutive-level memosbriefings and official correspondence.
Ability toprepare and sendresponses on behalf of the Secretary ensuring alignment withdepartmental priorities tone and confidentiality expectations.
Experience working with internal and external stakeholders at all levelsincluding government officials senior leadership and community partners.
Strong organizational and prioritization skills with the ability tomanage competing deadlines and multipleconfidential work streams simultaneously.

DESIRED OR PREFERRED QUALIFICATIONS

  • Experience using a high degree of discretion integrity and professionalism when handling sensitive and confidential matters.
  • Experience using Microsoft Office Suite (Outlook Word Excel PowerPoint)and project management toolssuch as Smartsheet Asana or Microsoft Teams.
  • Experience working independently and proactively in a fast-paced high-pressure environment.

LICENSES REGISTRATIONS AND CERTIFICATIONS

Employees in this classification will be assigned duties which require the operation of a motor vehicle.
