CLASS TITLE: Department Specialist
REPORTS TO: Director of Assigned Department
EXEMPT STATUS: Non-Exempt
BASIC FUNCTION:
Under general supervision perform a variety of specialized clerical duties related to department
requirements. Maintain records of assigned area while utilizing manual and computer-assisted processes; and
do other related work as required.
REPRESENTATIVE DUTIES:
Perform complex and advanced-level clerical accounting duties in support of the assigned area.
Operate micro-computers terminals and other business office equipment to work with a computer-
based accounting budget and control systems software.
Prepare system input data and analyze verify and reconcile output reports.
Perform specialized and technical functions in assembling tabulating calculating verifying and filing
department records and fiscally related information and data.
Utilizes computer software to produce a variety of complex or technical documents.
Comply with applicable state and federal law as well as local policies and procedures.
Communicate with County State and Federal agencies and other parties concerning department
related matters.
Answer phones and emails responding to questions or complaints from vendors or District employees
regarding issues related to department data inventories and other information as needed.
Assist with annual audit and preparation of financial reports as requested.
Trouble shoot and perform backup in any area of department as needed.
Perform other duties as assigned.
Maintain regular attendance.
KNOWLEDGE AND ABILITIES:

position. To perform the duties and responsibilities of this position successfully the employee must possess
the abilities and aptitudes to perform each task proficiently. Ability means to possess and apply both
knowledge and skill.
Knowledge of:
Advanced clerical accounting principles and techniques involved in department recordkeeping.
Familiarity with basic computer applications such as email and the ability to utilize various software
efficiently such as Microsoft Office Suite and Google.
Modern office practices and procedures; operation of computer terminal and other office equipment.
Operation of manual and computer-assisted accounting budget control and record management
systems.
Accounting and fiscal systems policies procedures and practices.
Basic practices and procedures around confidentiality.
Interpersonal skills etiquette and techniques using tact patience and courtesy in person and on the
telephone.
Oral and written communication skills.
Ability to:
Perform complex and advanced-level accounting duties in the maintenance of assigned department
area.
Perform responsible record-keeping duties with a high degree of skill organization and accuracy.
Process verify balance and adjust accounts/records to ensure department information is recorded
accurately.
Learn interpret apply and explain rules regulations policies and procedures related to assigned
school district function.
Operate office machines including computer calculator fax and printer.
Add subtract multiply and divide quickly and accurately in order to make complex arithmetical
calculations and verify the results.
Understand and carry out oral and written directions while also communicating these skills effectively.
Establish and maintain cooperative and effective working relationships with others.
Meet schedules and time lines.
Work confidentially with discretion.
Complete work with many interruptions.
Type at an acceptable rate of speed.
Plan and organize self to work independently with little direction.

EDUCATION AND EXPERIENCE:
Any combination of experience and training that would likely provide the required knowledge and skills is
qualifying. A typical way to obtain the required knowledge and skills would be:
Education:
Equivalent to the completion of the twelfth grade (High School Diploma or GED) supplemented by training or
coursework in related department field.
Experience:
Three years or more of highly responsible experience in assigned department is preferred.
PAY SCALE:
Classified Hourly Schedule - Grade 018.
CONTRACT:
Days and Hours may vary based on department need.
