Hours are typically Monday Friday 8:30am 5pm with the flexibility to shift on occasion to accommodate department needs.
Job Summary
Performs all duties necessary in the coordination of the hospital volunteer program. Responsible for interviewing orienting and training all volunteers.
Coordinates the on-boarding process and is involved in multiple department projects.
Primary responsibilities:
Responsible for the recruitment orientation placement scheduling and evaluation for all hospital volunteers. Coordinates additional
office projects related to and involving volunteers.
-Interviews selects places and orients volunteers. Works with supervisors of departments to place appropriately trained and/or skilled volunteers in required roles. Encourages development of volunteer role through communication between supervisors and volunteers.
-Manages Beeline and ServiceNow Pre-boarding journeys for volunteers.
-Ensures that all volunteer personnel meet hospital on-boarding requirements to Include occupational health
requirements.
-Conducts formal orientation for new volunteers which includes hospital mission policies and procedures and specific
volunteer guidelines.
-Coordinates and has oversight for the day-habilitation volunteers and job coaches in collaboration with the volunteer
manager.
Maintains volunteer records in the volunteer database. Maintains required current volunteer information.
Greets visitors volunteers and staff. Escorts new volunteers to assigned areas introduces them to staff.
Interacts with hospital staff to enhance volunteer programs and ensure volunteer functions are aligned with department needs.
Communicates with staff regarding volunteer schedules absences and discontinuation of service.
-To achieve the above Coordinator is responsible for consistent rounding in volunteer areas with volunteers and staff.
Rounds on volunteers and staff to obtain feedback about assignments. Consistently Informally checks in with volunteers in person
via phone or by email.
Coordinates the volunteer special project placement to include maternity pre- and post-partum packets and other assembling as
needed. Coordinates volunteer completion of materials. Reviews for accuracy. Takes inventory orders and stocks materials.
Facilitates monthly distribution of packets to physician practices and departments.
Coordinates the summer student volunteer program. Establishes timelines.
Coordinates volunteer training programs.
Has oversight for front office volunteer staff. Provides assignments and monitors progress of tasks. Trains and supervises Volunteer
Service office volunteers.
Writes communications to volunteers and staff.
Coordinates facilitates and arranges the scheduling of internal and external appointments and meetings.
Performs administrative functions on a regularly basis i.e. answering phones ordering office supplies.
Meets with the Manager of Volunteer Services to discuss various problems and situations. Offers opinions and suggestions.
Attends community social and service organizations to promote publicize and recruit for the volunteer program.
Represents NWH Volunteer Services at school volunteer fairs and at community venues.
Assists in the planning and coordination of the annual appreciation awards ceremony and dinner.
Monitors ongoing recognition of volunteers.
Addresses disciplinary action as necessary in coordination with the Manager of Volunteer Services.
Supports the Community Health Program Manager with the logistical planning for the career exploration and medical innovation
series for the summer program and promotes it with the summer volunteers.
Assists in the planning and coordination of the Summer Student Celebration.
Maintains the Volunteer Services website.
Demonstrates flexibility in meeting requirements of occasional after hour activities such as recruitment events and the Volunteer
Recognition Event.
Engages in hospital wide Initiatives and integrates volunteer services into hospital goals as appropriate.
Seeks professional development through hospital-sponsored workshops professional seminars and course study as well as reviewing
written materials in the volunteer service field.
Education:
Bachelors Degree Related Field of Study preferred
Experience:
1- 3 years relevant experience strongly preferred
Knowledge and Skills:
- Must have excellent oral/written communication interpersonal and office skills.
- Ability to efficiently complete multiple priorities.
- Excellent computer skills with additional program knowledge (Excel PowerPoint) is required.
- Knowledge in database management.
- Ability to interact effectively with all levels of organizational staff and people in a wide variety of age ranges and abilities necessary.
- Prior experience working with volunteers students and community programming preferred
