Job Description

Overview

The Program Assistant Senior provides logistical administrative and coordination support for the Center for Empowering Teaching Excellence (ETE) with a focus on ensuring the smooth day-to-day operation of several faculty development position is responsible for managing workflows and supporting participants in the Professional Development Pathways (PDP) program while also coordinating key initiatives such as Learning Circles the Student Collaborators of Teaching (SCOTs) program Sparkshops and peer evaluation of teaching closely with ETE Executive Director and Associate Director of Educational Initiatives and Innovation the Senior Program Assistant ensures operational excellence and contributes to a welcoming organized and responsive faculty development environment across USUs statewide system.

This position is eligible for hybrid work within the state of Utah.

Responsibilities

Professional Development Pathways Program Support:

  • Provide day-to-day logistical and administrative support for the PDP program including updating Canvas modules responding to inquiries tracking participation collecting programmatic data and maintaining accurate records
  • Advises PDP participants about program specific requirements
  • Maintain and update PDP materials across digital platforms including Canvas the website and promotional materials as directed by Center leadership
  • Collaborate with ETE staff to ensure smooth operations and troubleshoot routine implementation issues
  • Conduct outreach to PDP participants to ensure they know their progress in the program and to inform them of upcoming professional development opportunities

Learning Circle and Sparkshop Coordination:

  • Coordinate and facilitate ETE Learning Circles and Sparkshops each academic term (fall spring summer) including confirming sessions managing communications and preparing materials
  • Support participant engagement in Learning Circles and Sparkshops
  • Gather and summarize participant feedback from Learning Circles and Sparkshops
  • Suggest practical improvements to enhance the logistical effectiveness and participant experience of Learning Circles and Sparkshops in collaboration with the Executive Director and the Associate Director of Educational Initiatives and Innovation

Peer Evaluation of Teaching Process Coordination:

  • Organize the logistical components of the peer evaluation process including evaluator assignments sharing documentation and maintaining secure records
  • Provide faculty with access to peer review resources and support documents developed by ETEs Executive Director and the Associate Director of Educational Initiatives and Innovation
  • Ensure adherence to protocols and institutional policies throughout the peer evaluation process

Administrative & Programmatic Support:

  • Assist with data entry budget tracking procurement processes and file organization in collaboration with ETEs Executive staff for Pathways Learning Circles Sparkshops and peer evaluations of teaching
  • Maintains and creates website content for Pathways Learning Circles Sparkshops and peer evaluations of teaching by working with Associate Director of Educational Initiatives and Innovation
  • Support meetings and events by working with Program Assistant II to manage logistics (e.g. room reservations tech setup materials preparation) and provide on-site coordination for ETEs suite of professional development offerings
  • Help onboard train and/or supervise student workers or part-time staff to support ETEs day-to-day operations
  • Represent ETE in a professional and welcoming manner when interacting with faculty students staff and campus partners
  • Perform other support-related duties as assigned to contribute to ETEs ongoing success

Qualifications

Minimum Qualifications:

  • Six years of experience; or an associate degree/technical training plus four years of experience; or a bachelors degree plus two years of combinations of education and experience may be considered in lieu of the above requirements.

Knowledge Skills and Abilities:

  • Field-Specific Competencies: Familiarity with higher education contexts teaching practices and professional development initiatives.
  • Administrative Expertise: Ability to organize and manage multiple priorities maintain accurate records and handle confidential information responsibly.
  • Event Coordination: Skilled in planning and executing meetings workshops and events including marketing logistics and vendor coordination.
  • Communication & Collaboration: Excellent written and verbal communication skills; ability to create compose and edit materials such as promotional or educational documents.
  • Technical Proficiency: Comfortable with basic office equipment database management and productivity software (e.g. Microsoft Office Google Workspace).
  • Problem-Solving: Creative and proactive in identifying process improvements resolving issues and enhancing program effectiveness.
  • Interpersonal Skills: Demonstrated ability to work with diverse groups including faculty staff students and community members maintaining a positive and professional demeanor.
  • Independent Work: Capable of taking initiative working without close supervision and making routine decisions aligned with University policies.
