As a Service Liaison for The Residence you will be an integral part of a collaborative inter-disciplinary team focused on delivering seamless services and programs to our clients and customers. Hours of Work: Permanent Full-time 35 hours per week.

The Service Liaison will report to the Senior Manager of The Residence. This role provides administrative support to The Residence Staff and administrative assistant responsibilities to the Senior Manager. The incumbent promotes a culture of patient and staff safety consistent with the hospitals mission vision and values.

What youll be doing:

  • Provide administrative support to staff at The Residence answering general inquiries via phone internet etc.
  • Liaise with The Residence staff to coordinate and organize various services and patient requests (i.e. transportation personal needs and couriers etc.)
  • Calendar management & scheduling for clients including travel arrangements
  • Liaise with Homewood staff as required for programs & services that may be included in patient treatment
  • Responsible for internal communication for The Residence staff and management team transcribe minutes circulate and maintain official records
  • Coordinate meetings room bookings and catering requests
  • Ensure equipment functions and is maintained properly and order supplies
  • Complete and update program schedules group lists and all staff lists
  • Payroll functions including staff leave/vacation requests
  • Facilitate intake process for new admissions
  • Coordinate and track workflow schedules projects incoming and outgoing mail and administrative decisions through the proper channels to ensure paperwork is complete
  • Collection and analysis of data as requested
  • Screen and respond to telephone and specific situations and either provide information determine appropriate referrals or inform the Residence Management staff when the situation warrants attention
  • Schedule onsite and offsite meetings for Senior Manager Clinical Lead and Physicians
  • Management of confidential material

What were looking for:

  • 2 year Medical or Health Office Administration program is preferred
  • 3 years clerical experience as a department administrative assistant required
  • Computer skills Microsoft Office (word excel PowerPoint Access) Presentations GroupWise QuatroPro Dictaphone AS400 Kronos Caseworks
  • Ability to work with minimal supervision
  • Ablility to communicate and interact with diverse individuals build trust and develop rapport
  • Engaging collaborative and creative astute to clients needs with the ability to adapt and be flexible
  • Demonstrated ability to be professional discreet and sensitive
