Position Overview

The Membership Coordinator serves as an ambassador for the Co-op fostering meaningful connections with our member-owners and helping bring the cooperative difference to life. This role is at the heart of our community supporting an engaged and growing membership by ensuring accurate records guiding new and existing members through their journey with the Co-op and providing exceptional service through our general inquiry inbox. With a blend of administrative precision and people-centered communication the Membership Coordinator helps strengthen the foundation of our cooperative mission every day.

The Membership Coordinator reports to the Marketing & Outreach Director.



Location: Holly Administrative Offices 405 E Holly St Bellingham WA

Status: Part-time Monday-Friday works between 20 to 30 hours a week

Pay Range: $25.00-$28.50



Main Job Responsibilities

  • Processes new member forms and sends out new member packets
  • Maintains membership database ensuring member records are accurate and up to date
  • Processes and responds to requests for equity refunds; maintains data surrounding member refunds looking for trends and any potential issues
  • Serves as an ambassador for Co-op membership championing the program and its benefits
  • Helps educate staff and new members about Co-op membership through new worker orientations and new member tours
  • Supports staff during member drives and events to encourage a positive engaging atmosphere that fuels ongoing membership growth and community involvement
  • Seeks out ways to continually improve and streamline membership systems
  • Communicates with members as needed to resolve member problems or provide information
  • Monitors and responds to emails sent to
  • Collects and distributes comment cards from service desks
  • Tracks redemption of member offers and other loyalty programs
  • Participates in Co-op events and Co-op-sponsored events which may include planning prep setup and breakdown
  • Works collaboratively across the organization both within the Marketing & Outreach Team and with store staff



Requirements

Qualifications & Skills

  • Proficient in Microsoft 365 (Word Excel Outlook)
  • Detail-oriented with strong multitasking skills
  • Excels at verbal and written communication
  • Able to deliver clear inspiring messaging to motivate member participation and growth
  • Quick learner of membership software and programs; experience with ECRS and POS systems preferred
  • Comfortable leading group discussions or tours sharing detailed information about the Co-op and membership
  • Passionate about food community and cooperative values
  • Self-motivated proactive and committed to supporting member services attending MAC meetings and following up on action items


Physical Requirements

  • Repetitive Motion: Frequent computer use for data entry email management and tracking.
  • Lifting and Carrying: Ability to lift and transport membership materials brochures and files up to 20 pounds.
  • Mobility: Occasional walking or movement within the store to gather materials from service desks or distribute membership-related items.
  • Vision and Dexterity: Ability to read and input data accurately; fine motor skills for handling membership materials and paperwork.
