Summary:

The Clerkship Coordinator directly supports and assists the Clerkship Director in the Department of Neurology by managing and coordinating medical student clerkship programs. This role oversees course logistics scheduling and compliance with accreditation requirements ensuring a seamless learning experience for junior senior and visiting medical students. The coordinator is responsible for maintaining evaluation systems processing grades organizing didactic sessions proctoring exams and serving as a liaison between students faculty and administrative departments. Additionally the role includes managing visiting student programs and maintaining student resources. The position requires exceptional organizational skills attention to detail and the ability to communicate effectively across diverse teams and stakeholders to meet academic and institutional standards.

Typical Duties

Responsibility 1: (50%) Manage day-to-day operations of the Neurology M3 clerkship program

  • Collaborate with the Clerkship Director to implement and refine the clerkship curriculum incorporating student faculty and evaluator feedback
  • Serve as the primary point of contact for medical students faculty preceptors and clinical site staff.
  • Develop complex rotation schedules across multiple hospital sites and coordinate with department leadership for clinical preceptor assignments
  • Prepare and distribute clerkship materials syllabi and rotation-specific resources.
  • Maintain accurate and up-to-date records of student assignments assessments and grades in alignment with school policies.

Responsibility 2: (30%) Participate in curriculum planning new course development selection of materials and evaluation of instruction activities and students services programs/policies

  • Ensure full compliance with LCME standards institutional policies and clinical site regulations.
  • Maintain accurate documentation and prepared reports for audits site visits and accreditation reviews.
  • Precept monthly student exams and feedback sessions and coordinate/participate in student orientation and student-specific meetings
  • Manage students Direct Observations and Required Clinical Experiences
  • Coordinate and schedule case-based conferences lectures simulation trainings and the use of interactive cases

Responsibility 3: (20%) Address and problem-solve student issues related to the clerkship program (i.e. absences professionalism lapses mistreatment concerns site-specific concerns)

  • Monitor evaluation completion rates and escalate issues to ensure timely grade submission.
  • Represent the Neurology department on medical education committees or clerkship leadership forums.
  • Contribute to strategic planning and innovation within the departments education mission.
  • Support integrating new technologies systems or workflows to enhance program efficiency.
  • Manage M4 student duties
  • Other duties as assigned
Qualifications

Minimum Qualifications

  • Bachelors degree preferred; or equivalent related experience will be considered.
  • 3-5 years of experience in academic administration or medical education preferably in a clinical department.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks prioritize and meet deadlines.
  • Proficient in Microsoft Office and learning management systems (e.g. LEO or other learning platforms).
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Familiarity with medical terminology and hospital systems (e.g. EPIC) is a plus but not required.
