Position: Executive Assistant Technology Services (Onsite)
Location:Waltham MA (preferred onsite with manager)
Pay Rate: $20.78/hour weekly pay.
Position Summary:
A leading technology services organization is seeking a skilled Executive Assistant to provide high-level administrative support to three senior leaders including the Chief Operating Officer (COO). This role is ideal for a proactive professional with excellent organizational and communication skills who can handle multiple priorities in a fast-paced dynamic environment.
The successful candidate will be based in the office have experience managing executive calendars coordinating travel handling confidential information with discretion and supporting a wide range of operational and administrative needs.
Key Responsibilities:
Provide day-to-day administrative support to three senior executives (two remote).
Manage complex calendars with a focus on time efficiency and conflict resolution.
Organize domestic and international travel logistics.
Prepare agendas meeting minutes and related documentation.
Process and track expense reports accurately.
Serve as a liaison between internal teams and external stakeholders.
Coordinate meetings off-sites and recognition events.
Anticipate the needs of executives and take proactive steps to streamline their workflow.
Required Qualifications:
3 years of experience as an Executive or Administrative Assistant supporting senior leadership.
Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint).
Experience with MS Teams OneDrive and Webex preferred.
Ability to handle sensitive and confidential information with professionalism.
Strong verbal and written communication skills.
Detail-oriented with exceptional organizational skills.
Ability to multitask and prioritize effectively in a deadline-driven environment.
High emotional intelligence (EQ) and the ability to align support with leadership goals.
Preferred Skills & Experience:
Experience with travel booking systems and expense management platforms.
Background in event planning and coordination.
Knowledge of collaborative tools such as SharePoint and other project management applications.
Ability to build relationships and work effectively across teams and locations.
Work Environment & Schedule:
Onsite position in Waltham MA.
Executives begin meetings early (8:00 AM ET); availability at that time is required.
Must be able to support leaders located both onsite and remotely.
Interview Process:
Initial video interview via Webex.
Follow-up in-person interview at the designated office location.
