Position Summary
Gannon University is seeking a 12-month full-time Coordinator of Event Technology and Campus Engagement who is dedicated to fostering a vibrant and sustainable campus environment where students faculty staff and visitors can thrive. We are committed to excellence in facilities management and community engagement ensuring the efficient operation of our buildings and technology while actively involving stakeholders in campus life. The Coordinator will collaborate directly with internal and external event organizers to understand their requirements and logistical needs for hosting various campus events including conferences workshops lectures and social gatherings. Additionally the Coordinator will play a key role in engaging with various stakeholders including students faculty staff and external partners to promote community involvement and foster a sense of belonging on campus. The Coordinator of Event Technology and Campus Engagement must be able to support and promote the Universitys Mission and GU Service Framework of Respect Wellbeing Engaged and Seamless. Essential Functions : Campus Event Reservation Process Serve as the primary point of contact for inquiries and requests related to room reservations providing timely and courteous responses to stakeholders. Provide user support and training on the reservation system to campus partners and student organizations and troubleshoot issues and assistance with navigation and utilization. Facilitate communication between event organizers facility staff and support services (e.g. Physical Plant Information Technology Services Campus Dining Risk Management etc.) to ensure successful and safe event execution. Oversee the maintenance and updating of reservation software/database including user accounts room configurations and booking policies. In partnership with the Director of Campus Engagement develop and maintain scheduling processes priorities policies and systems that optimize the use of space and deliver an outstanding experience to all clients. Support Assistant Director Event Management and Campus Engagement with arranging equipment and supplies needed for event setups including tables chairs podiums lecterns presentation screens whiteboards flip charts and easels etc. Campus Event Technology Support Coordinate audiovisual (AV) setup and technical support for events including sound systems projectors screens microphones and lighting equipment and video recording/streaming devices. Liaise with IT services and AV technicians to troubleshoot equipment malfunctions and ensure seamless operation throughout the event. Conduct equipment tests and rehearsals prior to events to identify and resolve potential technical issues in advance. Provide training and support to event organizers and staff on the use of AV equipment and technology resources available on campus. Stay informed about emerging trends and innovations in event technology recommending enhancements and upgrades to enhance the attendee experience and optimize event outcomes. Manage virtual event platforms and streaming services for hybrid and online events facilitating seamless integration of live and pre-recorded content interactive features audience engagement tools and virtual networking opportunities. Provide technical support and training to event organizers and participants on using virtual event platforms webinar software video conferencing tools and other digital collaboration technologies. Maintain an inventory of event technology assets including AV equipment computers tablets smartphones and peripherals ensuring proper storage maintenance and documentation of equipment usage and condition. Develop contingency plans and backup solutions for technology failures or emergencies during events implementing redundancy measures and alternative communication channels to minimize disruptions. Manage the implementation maintenance and content updates for digital signage systems in the Waldron Campus Center and Beyer Hall ensuring timely and relevant messaging to inform engage and promote events activities and announcements to the campus community Leadership Development and Campus Engagement Support Indirectly supervise student employees interns and graduate assistants. Design facilitate and participate in the training development coaching and team building of student staff. Participate in university admissions events orientation events homecoming/alumni weekend and any other scheduled community event. Submits assessment plans and outcomes and completes program reviews for retention and benchmarks of the department to best forecast program growth. Supports and promotes Leadership Development & Campus Engagement and Student Development & Engagement offices to community members alumni and donors. Demonstrates competence around administrative functions for program responsibilities including creating comprehensive marketing programs scheduling appropriate facilities budgeting data analysis and assessment. Performs other duties as assigned within the scope and responsibility and requirements of the job.
Physical Demands
Must be able to meet the physical demands associated with the high-energy and robust pace of a highly active office. Must be able to sustain the rhythm of high-energy periods such as Summer Orientation Welcome Week Student Leader training and Homecoming weekend.
Required Qualifications
Education : Bachelors degree required Experience : Proficiency in event software technology including facilities management systems audiovisual (AV) equipment such as sound systems projectors screens microphones and lighting equipment and video recording/streaming devices Microsoft Office Suite and project management tools. Proven track record of successful project or event management. Excellent communication skills both written and verbal with the ability to present complex information in a clear and compelling manner. Strong interpersonal skills with the ability to collaborate effectively with diverse stakeholders. Preferred Qualifications
Experience : Previous experience in a student union/center is highly desirable.
