About the Position:
The Grants Assistant plays an important support role in the City of San Bernardinos Community Development and Housing Department helping to administer and implement federally funded programs that directly impact the quality of life for local residents. This position primarily assists with the Community Development Block Grant (CDBG) program and other housing and community-based grants providing administrative and coordination support to ensure compliance timely fund usage and successful project delivery.

Working under direct supervision the Grants Assistant collaborates with internal departments non-profit partners and community stakeholders to help facilitate grant-funded activities that address critical needs such as housing public services and neighborhood improvements. From processing invoices and preparing reports to engaging with community organizations this position is ideal for someone who values public service and wants to help strengthen San Bernardinos neighborhoods through effective grant management and community investment.

What Youll Be Doing Here

The Ideal Candidate:

  • Grants Knowledge: Understands the basics of federally funded programs such as CDBG ESG and HOME; is familiar with the documentation reporting and compliance requirements associated with grant administration.

  • Organizational Skills: Keeps track of multiple deadlines program activities and financial documents with accuracy and attention to detail; ensures timely and efficient processing of invoices contracts and reports.

  • Communication Abilities: Maintains clear professional communication with community partners non-profits and internal staff; drafts reports and correspondence that are concise and compliant.

  • Community-Focused: Takes pride in contributing to programs that directly benefit low- and moderate-income residents local service providers and neighborhood development efforts.

  • Tech Proficiency: Uses Microsoft 365 tools (Word Excel Outlook Teams) and specialized systems like IDIS to maintain documentation track expenditures and support reporting.

  • Team Player: Supports the Grant Fund Coordinator and collaborates with staff across departments; contributes to a positive and productive work environment with flexibility and reliability.


A Day in the Life Consists of:

As a Grants Assistant in the Community Development and Housing Department your work helps ensure that federal funds are used efficiently and compliantly to strengthen neighborhoods and improve lives. Your typical day includes:


  • Assisting with the tracking and reporting of CDBG HOME and ESG program activities.

  • Coordinating with subrecipients and community organizations to gather performance data and invoices.

  • Drafting and submitting program reports financial documentation and communications.

  • Supporting public outreach and engagement with local nonprofits and stakeholders.

  • Processing requests for reimbursements and maintaining accurate records for audits and reviews.

  • Updating systems like IDIS with project data and funding information.

  • Participating in department meetings and contributing ideas to improve processes and community impact.

  • Providing general administrative and clerical support to the Grant Fund Coordinator and department staff.

What You Need to Qualify

Education and Experience:
Associates degree in finance public or business administration or a closely related field; and some experience working in the coordination and administration of grants and grant programs; or an equivalent combination of education training and experience.

Licenses Certifications and Equipment:
A valid State drivers license is required.


Knowledgeof


Skill in
  • Communicating effectively orally and in writing.
  • Maintaining files records and documentation.
  • Participating in the compilation research analysis and preparation of planning related technical and statistical reports and data.
  • Establishing and maintaining effective relationships.
