How will this role impact First Command
The CST Administrative Assistant works with the CST Field Liaison & Team Lead to prepare process and follow-up on the paperwork required for client appointments. The focus of the role is meet regularly with the CST Team Lead to understand upcoming work volumes; provide updates on the day-to-day follow-up (suspense tasks); and provide details and clarification related to pending requirement or escalations and work with internal departments and business partners to ensure timely product implementation and service.
What will the employee do in this role
Utilize knowledge and experience to prepare and process insurance investment and banking forms and workflows to implement product recommendations and/or service of existing products and provide any need-to-know important information relating to the execution of the forms and workflows within established service levels.
Thoroughly review all forms and workflows prior to submission to ensure accuracy and good order status.
Communicate with internal department and business partners to track and follow up on submissions ensuring products are implemented or serviced in a timely manner and resolving problems related to client files.
Exercise good judgement and decision-making skills to recognize when additional documentation or approval is needed and escalate to Team Lead as appropriate.
Participate in regular meetings with Team Leads and CST members regarding upcoming appointments work in progress and completed work.
What skills and qualifications do you need
Education
High school diploma (Required)
College degree (Preferred though previous work experience will be considered)
Work Experience
Minimum 1 year as a First Command Office Manager Administrative Assistant or Home Office employee ()
Customer Service experience (Strongly Preferred)
Required Knowledge Skills and Abilities
Demonstrate and maintain advanced understanding and awareness of all applicable compliance regulatory and internal guidance related to First Command products and Advisor production compensation and recognition.
Strong proficiency with Salesforce.
Strong proficiency with Microsoft Windows and Office Suite.
Desire for continual learning and dedication to study and apply new concepts.
Adept at verbal and written communication and ability to clearly communicate thoughts and ideas to varied audiences.
Adapt and multi-task with organization accuracy and strong attention to detail while meeting deadlines in a fast-paced environment.
Able to effectively handle stress pressures and challenges inherent within the industry.
Self-motivated to work independently and coordinate tasks with others under minimal supervision.
