This purpose of this position is to manage and oversee the Records Offices daily operations (customer service transcript order processing records maintenance transcript evaluation graduation conferral student registration etc.) the document imaging system and external reporting (National Student Clearinghouse reciprocity). This position must provide complicated specialized information regarding policies and procedures as well as exceptional service to external customers in high pressure high volume situations. This must be done with strict accordance to the guidelines policies and procedures established by state and federal regulations the Minnesota State Colleges and Universities (Minnesota State) system and Saint Paul Colleges faculty and administration. This position is responsible for training supporting and providing work directions to the employees in the Records Office at Saint Paul College. Responsibilities include assigning and controlling the flow of work modifying administrative procedures assisting with hiring and training for employees.
Job Duties:
Plan and direct the operational functions of the Records Office.
Train and provide work direction to the personnel within the Records Office.
Perform high-level administrative tasks.
Lead continuous quality improvement efforts within the Records Office by integrating industry trends and best practices.
Serve as the back up to the Colleges Veterans Benefits School Certifying Official (SCO).
Salary Range:
The salary range for this position is $27.84 - $40.82 hourly.
Minimum Qualifications:
Bachelors degree in Business Social Sciences or equivalent OR three years previous work experience in related field.
Thorough knowledge of higher education records and registration principles and practices student data privacy law computers and general office practices.
Skills in computer-based technology in educational environments including an integrated student information system.
Strong human relations skills sufficient to effectively lead staff (including addressing issues coaching for improved performance and discipline).
Excellent oral and written communication skills to create documents and student correspondence in a clear concise and professional tone.
Ability to interpret follow explain and implement complex procedures and processes.
Excellent organizational skills with the ability to multi-task prioritize projects and keep multiple deadlines.
Preferred Qualifications:
Masters Degree in Higher Education Student Affairs Counseling or equivalent.
Three years previous work experience in Minnesota State Colleges and Universities (Minnesota State) records or registration office.
Practical experience with Minnesota States Integrated Student Record System (ISRS and Web-based applications).
Previous lead worker or supervisory experience.
Experience with a document imaging system such as Perceptive Content/ImageNow.
Familiarity with Minnesota State programs policies procedures and services.
Experience with policy writing and revision.
