Desired Wage: $17.00-17.50

Location: Zapara School of Business (ZSB)

Reports to: Office of the Dean

Employment Period:Summer Quarter & Fall Quarter;Mandatory training/retreat starting September 8-12 2025; If starting in the fall work schedule begins September 12 2025.

Employment is on a quarterly basis and subject to renewal following a performance review at the end of each quarter.

Job Title: Student Office Coordinator Department: Zapara School of Business

Reports To: Administrative Assistant to the Dean

Job Description: The Student Office Coordinator serves as the first point of contact for students faculty staff and visitors in the Zapara School of Business (ZSB) administrative offices. This role performs a variety of administrative clerical and customer service-related duties to support the daily operations of the office and contribute to a professional welcoming and efficient environment. The Student Office Coordinator assists with general office duties such as answering phones responding to email inquiries greeting and directing walk-in traffic conducting ZSB tours scheduling appointments making copies organizing office supplies preparing documents filing and maintaining records. Coordinators will be responsible for keeping common office areas organized and ensuring resource materials are available and up to date. The Student Office Coordinator may assist with special projects data entry event preparation academic forms processing and communication efforts such as social media email outreach and flyer creation. They will interface and communicate with internal and external parties that have inquired/reserved usage of the requested ZSB location for their event. This includes ensuring the appropriate staffing has been scheduled to facilitate the event including if equipment is available for the event rental arrangements have been made scheduling and conducting the moving/removing/resetting/cleaning/replacing of chairs tables stage furniture linens etc. and providing quality customer care throughout the entire process.

The Student Office Coordinator is responsible for communicating and confirming with other University Departments/personnel if their services will be needed and scheduled. Collaborating departments include: Campus Safety and Security Custodial and Plant Services Dining Commons and Catering Information Technology (if applicable) and Risk Management. Student Coordinators are the on-site management for an event and may need to engage in troubleshooting any challenges that arise. Student Coordinators serve as liaisons with event attendees guest speakers and ZSB staff. They are also expected to support faculty and staff with various administrative tasks as needed and ensure accurate information is shared with students and guests. The Student Office Coordinator serves as ambassadors of the School and are expected to maintain a professional demeanor provide excellent customer service and uphold the mission and values of the Zapara School of Business and La Sierra University.

Primary Responsibilities:

  • Greet and assist students faculty and visitors at the front desk
  • Respond to phone calls emails and general inquiries in a timely and professional manner
  • Schedule appointments and maintain calendars for office staff when needed
  • Schedule staffing for events
  • Organize and maintain office supplies inventory and general workspace areas
  • Prepare and distribute flyers announcements and internal communications
  • Assist with the planning and execution of events and student engagement activities
  • Support academic administrative functions such as organizing data entry and processing forms
  • Provide logistical and clerical support
  • Maintain confidentiality and accuracy in handling sensitive information
  • Perform basic office maintenance and organization tasks to ensure an efficient work environment

Qualifications:

  • Must be a current student at La Sierra University
  • Strong communication and interpersonal skills
  • Professional demeanor and a commitment to excellent customer service
  • Proficiency in Google Suite (Docs Sheets Drive Calendar Gmail)
  • Detail-oriented organized and able to manage multiple tasks efficiently
  • Ability to work independently as well as collaboratively in a team setting
  • Familiarity with or willingness to learn office technology (copiers printers scanners phone systems)
  • Experience with social media platforms and/or design tools (Canva Adobe etc.) is a plus
  • Previous administrative office or reception experience is preferred
  • Must be punctual reliable and capable of maintaining a regular work schedule
