Description

Position Summary

Provides administrative and clerical support to the Dean of Advanced Research Programs including the Deans role as teaching faculty. Acts as first point of contact for the ARP Office extending hospitality and professional service to students faculty and staff. Processes business matters for the Dean and the degree programs under the direction of both the Dean and Manager of ARP.

Essential Functions

  • Deans Support:
    • Scheduling keeping deans calendar up to date with meetings/appointments class schedules; and safeguard Deans time;
    • Committee meetings support dean working with Manager in final preparation and distribution of materials (ARP Committee and Academic Council);
    • Hospitality provided deans guests with beverages and general needs;
    • Teaching faculty role secure course texts and attendance documents arrange classroom and technology needs and communicate with students as requested.
  • Academic Support of PhD & ThM Degree Programs; in consultation with ARP Program Manager and oversight by Dean (as needed):
    • General communications route and respond to communications for program matters and ARP staff;
    • Faculty support communicate information as directed by ARP Dean or Manager to student faculty advisors mentors and committee members; and maintain Faculty Responsibility Chart and communicate changes;
    • Advanced Research study carrels manage assignments physical maintenance and communications with carrel occupants
    • Student program process and records process submitted materials maintain student files student database and tracking charts; this includes:
      1. Review for Research Readiness
      2. Comprehensive and Exit Exams
      3. Proposals Dissertations Dissertation Defenses and Scholarly Papers
      4. Institutional Review Board
      5. Program finalization
      6. Reports (including but not limited to Year-End and Board Reports)
    • Calendars update and maintain ARP Office program calendar;
    • Student worker schedule and guide the part-time student worker in responsibilities;
    • Events support ARP Office efforts and serve as event staff;
    • Tier 1 technical support oversee technology for meetings proposals defenses and examinations.
  • Secondary Functions
    • Office procedures ensure records accuracy; update procedural manual; execute records retention plan;
    • Bulletin boards keep current ARP Office and Study Carrel boards;
    • Facilities maintenance discuss perceived needs in office suite and study carrel room with the Program Manager;
    • Emergency preparedness liaison to campus coordinator/security team; keep updated study carrel occupant contact information;
    • Graduates database update program graduates information.
  • Other Responsibilities:As requested by ARP Dean and Program Manager
  • Direct Supervision & Project/Team Leadership or Training
    • Co-supervision (with Program Manager) of ARP Student Worker

Qualifications

Required/Preferred Skills

  • Proficient with
    • MS Office: Word Excel and PowerPoint; Google Suite; Zoom; CampusNexus; Canvas; Asbury Connect; Virtual EMS; printer/copier/scanner/fax machine; Mitel phone system
  • Other Preferred Skills and Abilities

Education and Experience

  • Bachelors degree preferred
