Job Description

As the Receptionist you will serve as the first point of contact for our school playing a vital role in fostering a friendly and welcoming atmosphere for students staff and visitors. You will be responsible for providing administrative support regarding student dismissals and the after-school care team.

Key tasks include warmly greeting and assisting guests and visitors as they arrive ensuring that everyone feels valued and comfortable. You will manage front desk operations which involve efficiently handling inquiries directing phone calls to the appropriate personnel and conducting basic triage for injured students.

Additionally you will be responsible for accepting deliveries and maintaining an organized reception area that reflects the professionalism of our school. Your attention to detail and ability to multitask will be essential as you strive to meet the needs of those who come through our doors. Overall your role will be crucial in creating a positive first impression and supporting the smooth functioning of our schools daily operations.

This is a non-exempt non-benefited part-time (38% FTE) position 3:30 PM to 6:00 PM Monday through Friday and will report to the Elementary School Principal. The Salary Range for this position is $23.00 to $26.00.

Primary Responsibilities

  • Great all visitors students faculty and staff members are greated in a welcoming manner.
  • You will be responsible for answering screening and routing all incoming telephone calls.
  • Take care of all student requests and attend to minor injuries
  • Minor secretarial duties
  • Keep the office and adjoining areas well-maintained
  • Direct visitors to the appropriate person and office
  • Ensure the reception area is tidy and presentable with all necessary materials (e.g. pens forms and band-aids)
  • Provide basic and accurate information in person and via phone/email
  • Receive sort and distribute deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
  • Clean apply ice and minor bandage cuts and treat minor injuries as appropriate log and issue notices
  • Take care of miscellaneous student requests as appropriate
  • Keep the office and adjoining areas well-maintained
    • Keep all floor spaces hallways doorways and counter spaces free and safe for regular traffic.
    • Alert the administration of all safety and other appropriate issues
    • Maintain an organized workspace
    • Maintain all office machines via existing service contracts


Requirements

  • High School Diploma or GED
  • Prior work experience as a Receptionist Front Office Representative or similar role preferably in an academic setting
  • Ability to work with Microsoft Office and Google Suite Mac OS iPad
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills with the ability to prioritize tasks
  • Good customer service and organizational skills

Working Conditions

  • Working with children and youth involves extensive physical activity mental alertness and enthusiasm.
  • Good general health physical stamina and emotional stability are essential.
  • Ability to hear within normal range and communicate effectively in person or via telephone in a manner that can be understood by those with whom the person is speaking including a diverse population
  • Ability to move quickly to address emergency or potentially dangerous situations
  • Ability to move about the building and the organization as needed
  • Ability to work outdoors in various types of weather conditions
  • On occasion must lift up to 35 lbs
